Position Summary

The Adult Education (AE) Grant Data Technician plays the primary role in acquiring, entering, and maintaining data for the AE Grant project. The AE Data Technician position supports the curriculums of this project, including but not limited to, High School Equivalency (HSE) and English as a Second Language (ESL) programs.

Duties & Responsibilities

  • Maintains AE records – project, student, personnel, and financial, in a manner that facilitates analysis, project management, and decision-making by the AE Director.  Maintains such records to ensure state and federal grant compliance and in accordance with NNMC policies and regulations.
  • Performs routine responsibilities including answering multiple telephone calls; prepares purchase orders and checks requests; coordinates training, meetings, and travel arrangements; and maintains an inventory of supplies and equipment.
  • Supports program with student intake, assessment, course placement, goal-setting, follow-up, and other clerical tasks as required or needed.
  • Assists the AE Director in program planning and implementing program operations and improvements in order to successfully achieve program goals.
  • Assists AE program leadership in the compilation of data for both federal and state reporting. 
  • Works under the direct supervision of the AE Director to collect and maintain program data and analyze information.  Specific data operational functions:
    • Enters student data into a database system relating to intake, assessment, placement, goal-setting and follow-up, in compliance with Federal National Reporting System (NRS) and State policy.
    • Ensures accurate and timely electronic and hardcopy data collection, maintenance, and storage.
    • Ensures accuracy of data entry, performing periodic data audits for quality assurance.
    • Identifies, analyzes, and corrects missing and/or inaccurate data.
    • Ensures that information in hardcopy files matches information housed in the database system.
    • Produces accurate and timely data submissions to the State AE Office as needed.
    • Designs and generates periodic/required statistical reports.
    • Analyzes data issues, problems, and trends and recommends program improvement strategies/projects to AE Director.
    • Troubleshoots issues/problems, identifies root causes, recommends options, and actively participates in or leads issue/problem resolution.
    • Provides ongoing technical assistance and help cross-train program staff on designated tasks and responsibilities.
    • Ensures the accurate and timely recovery of data as needed.
    • Ensures the confidentiality of student records/information as required.
    • Ensures the appropriate retention of student records per Federal/State policy.
    • Supports the program in achieving designated standards, measures, and goals.
    • Provides input toward and participates in information system enhancement efforts.
    • Participates in state AE data group communications and meetings as needed.
  • Understands the National Reporting System (NRS) Guidelines and State AE policies and incorporates the concepts and practices contained therein to ensure overall program data integrity and accuracy.
  • Develops, documents, and updates job processes, procedures, and guidelines for most daily tasks and responsibilities to ensure job responsibilities are met as planned/scheduled and establish a continuity of operations plan (COOP).
  • Organizes assigned projects and helps to develop best practices.
  • Attends and participates in the state AE data organization and other professional development meetings, conferences, or classes as needed or required.
  • Participates in college functions/activities/events as needed.
  • Provides input to NM AE councils, task forces, and other special work groups as requested.
  • Performs other related duties as assigned.
  • Must be able to get along with co-workers, supervisors, and customers.  Positive and professional communication and interaction are a must.
  • Regular attendance is a necessary function.

MINIMUM JOB REQUIREMENTS:  Associates degree in computer technology, management information systems (MIS), business administration, or other related fields of study plus 3 years of hands-on work experience with data collection/entry/maintenance, database programs/systems; computer technology and/or software applications.  Required data skills include data and database system access and security, quality control, backup/recovery, report design, and generation.

Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling five (5) years may substitute for the required education and experience.

CONDITIONS OF EMPLOYMENT:   Must possess a valid NM Driver’s License and be able to periodically travel to in-state meetings or occasional out-of-state meetings.

KNOWLEDGE, SKILLS, and ABILITIES:

  • Solid office management, problem-solving, and time management skills.
  • Research skills for analyzing problems, issues, reports, and trends.
  • Troubleshooting ability to identify and take problems/issues to appropriate and timely resolution.
  • Ability to work on project teams within the program, other organizations, and/or AE programs.
  • Ability to meet project and reporting deadlines.
  • Ability to train others as needed.
  • Must possess excellent customer service skills: has the ability to communicate clearly and effectively in both written and verbal form.  (Ability to communicate in both English and Spanish preferred).
  • General knowledge and understanding of educational principles/practices is preferred.
  • Must be able to periodically work evenings and weekends as needed.

PHYSICAL DEMANDS:

  • No or very limited physical effort required; up to 25 pounds
  • No or very limited exposure to physical risk.

WORK ENVIRONMENT:  Work is normally performed in a typical interior/office work environment.
