Position Focus:

Reporting to the Director, Analytics and Data Services, support the efforts of Alumni Affairs and Development through report requests, data extractions and other information needs, utilizing database systems and other tools. Assist with the creation of query selections and marketing efforts for publications, events, mailings and other Alumni Affairs and Development activities from primary databases to support fundraising programs, alumni activities and other University initiatives. Provide adhoc requests for constituent data to schools and units throughout the University. Collaborate closely with the Analytics and Data Services team to respond to customer questions, and interpret and fulfill customer requests, as well as support other operational and administrative tasks. Understand and utilize relevant database systems, and applicable internal reporting structures and guidelines. Support revenue and constituent coding structures and hierarchies, through data entry and reporting. Utilize database systems to assist with problem-solving for constituent data, and identify and support data integrity efforts. Contribute to the establishment of best practices, and maintain reporting documentation and guidelines. Work with staff from the Alumni Affairs and Development ITS organization, including assisting with user acceptance testing of database systems, and communicating findings and/or data issues. As part of the Information Management and Donor Services team, interact and collaborate with staff from Advancement Systems, and Gift and Records Services, as well as other schools and units across the University. Perform other administrative duties as assigned. Essential Duties

1. Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems. 2. Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Establishes and maintains professional relationships with internal and external contacts. 3. Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission. 4. Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases. 5. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 6. Oversees, instructs, and coordinates activities of support staff. 7. Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8. May perform other duties as assigned.


Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.


Required Skill/Ability 1:

Exceptional querying skills, including extracting and summarizing large quantities of data from database systems. Experience with manipulating and reconciling data.


Required Skill/Ability 2:

Demonstrated organizational abilities with strong attention to detail, strong interpersonal skills, and well-developed written and verbal communication skills.


Required Skill/Ability 3:

Advanced proficiency with Excel, and strong knowledge of other Microsoft products, such as Word, PowerPoint, and Outlook.


Required Skill/Ability 4:

Ability to work independently and as part of a team, and to handle multiple projects simultaneously. Ability to maintain confidentiality of information.


Required Skill/Ability 5:

Preferred Education, Experience and Skills:

Familiarity with university and/or development and alumni affairs programs, processes, and practices. Experience in higher education advancement services. Experience with Blackbaud CRM or other fundraising and relationship management systems, including query development and marketing efforts.
