Brief Summary of Work for this position:


The Data Processor is a key member of the Advancement Services team, which is responsible for ensuring the integrity of the university's donor and alumni database. Data plays a key role in fundraising and is crucial to the overall strategies employed for the identification, cultivation, solicitation and stewardship of donors; therefore, the Data Processor plays a key programmatic role in the university's fundraising function. This position uses various software applications to import and export data, research lost constituents, and verify information, in addition to some manual data entry. This position also works closely with the Gift Administration to prepare online giving files for batch entry.
Key Responsibilities:
  • Using established procedures, reviews and prepares files daily for upload (via Import-O-Matic) into the Raiser's Edge database, including alumni, student, scholarship, parent, and faculty/staff information
  • Downloads files from various websites (online giving, telemarketing, event registration, etc.) and processes updates in the Raiser's Edge database
  • Verifies data using reference and research tools (Alumni Finder, LexisNexis, etc.) to ensure accuracy of information collected and entered in the database
  • Monitors department email to process data updates
  • Periodically runs data audit scripts to identify and correct bad data
  • Develops a basic understanding of system query functionality to field basic requests for data
  • Communicates with colleagues regarding information needed to process data appropriately
  • Stays current on university and department business rules as related to data capture and maintenance
  • Assists end-users with navigating the Raiser's Edge database and interpreting the data
  • Occasional assistance processing large mailings
  • Other tasks as assigned

Minimum Education and Experience Requirements:


Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Education, Knowledge, Skills & Experience :

  • One year of related office, data entry, or computer experience or demonstrated competency
  • Proficiency in Microsoft Excel and/or Access and an ability to learn new software programs quickly
  • Excellent written, oral, and face-to-face communication skills
  • Honesty, integrity, and dependability with the ability to handle highly confidential information
  • Demonstrated attention to detail and accuracy
  • Ability to manage multiple tasks simultaneously, working independently following established procedures
  • Experience in a higher education Advancement Services environment or familiarity with fundraising principles and data

Primary Purpose of Organizational Unit:


The Division for University Advancement is responsible for the following primary goals:
  • Coordinate a campus-wide, comprehensive effort to raise philanthropic funds that support the strategic plan and mission of the university.
  • Manage an inclusive alumni engagement program designed to serve and engage nearly 100,000 alumni as ambassadors, advocates and donors.
  • Strengthen and expand UNCW's donor pipeline through effective discovery, cultivation, solicitation and stewardship strategies.
  • Ensure that external boards (UNCW Foundation Board, Board of Visitors, Student Aid Association Board, Alumni Association Board of Directors and the Friends of UNCW) are effective in their mission of supporting UNCW.

  • The division's fundraising efforts are enhanced by effective partnerships with the campus community as well as external constituents including alumni, parents, corporations, foundations, volunteers and friends. Development areas include annual giving, leadership annual giving, major gifts, principal gifts, corporate and foundation engagement and planned giving, as well as alumni engagement. Prospect development, events and board management, stewardship, communications and advancement services are support services for the fundraising activities of the division.
