JOB SUMMARY

Under the direction and general supervision of the URIS Associate Director, Business Analysis & Systems Support Services, the Information Systems Business Analyst is responsible for analyzing and documenting requirements for, and strategizing, overseeing, and reporting on specified day-to-day work and projects to implement, maintain, improve, and upgrade the information management technology and associated business processes and solutions that support UR in carrying out its mission.

The Data Management Business Analyst is primarily responsible for supporting technical systems, designing and documenting processes and procedures associated with the Information Management data processing services; this includes support of data entry, data quality, data integrations, online giving systems, and document imaging/management systems.

 

APPOINTMENT INFORMATION

Budgeted Salary: $29.24 - $38.91/hour.  Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

80% - Information Management Systems Analysis, Maintenance, and Technical Support

  • Under the direction and general supervision of the Associate Director, Business Analysis & Systems Support Services:
    • Elicit and manage functional and user experience requirements for new systems being implemented:
      • Specify and document business and process requirements.
      • Work with functional teams and vendors to understand applications/solutions from a functional perspective.
      • Document all data integration and data management requirements.
      • Document application configurations, and ensure all test planning is appropriate, adequately comprehensive, and well documented.
      • Manage testing and quality assurance process and ensure this is adequately completed prior to release to production of any component.
      • Map data for API, application-based, and manually enabled data integrations (e.g. campus and 3rd party systems) for existing and new needs/business processes.
      • Troubleshoot problems related to Data Management systems user experience, data entry, and data interfaces/integrations. Work with technical programming staff and other business and user analysts to devise and implement solutions. Oversee testing of solutions, and directly work with and guide end-users to integrate the solutions into their business processes and/or procedures.
    • Define and lead development and implementation of solutions, tools, and processes within Information Management systems to support new and/or improved procedures for Data Management.
    • Analyze, specify design and testing; and oversee testing of systems, processes, and reports intended to solve issues and/or improve gift processing, data integrations, and data integrity. This Involves working closely with technical and end-user staff in UR, ITS, and sometimes other campus divisions to develop functional specifications and test cases for solutions.
    • Provide detailed functional specifications to technical programming staff for modifications or enhancements to existing systems that support Data Management. This includes defining specifications for changes in business processes and the supporting applications/systems and data reports.
    • Assist in assessing the impact of hardware, operating system, CRM, and integrated system upgrades and modifications on gift administration and data management/processing.
    • Investigate and report on any vendor-provided known issues that adversely impact gift administration and data management/processing.
    • Support the Associate Director, Business Analysis & Systems Support Services and other business analysts in the review of modification requests from users that may affect the technology and business processes of the functional areas you support to determine feasibility, benefit, and effort required to plan and implement.
    • Work with Associate Director, Business Analysis & Systems Support Services, other business analysts, and the technical programming staff to determine which modifications should be implemented and to prioritize the requirements backlog. Develop functional specifications for the modifications and work with technical programming staff to implement modifications.
    • Evaluate technical and reporting-related functionality changes of systems upgrades provided by the vendor (e.g. Salesforce, Affinaquest, ImageNow) as these upgrades might affect business processes. Develop specifications for any modifications that need to be made to the upgraded software and reporting in order to meet business needs. Work with technical programming and Information Management staff to plan, test, and implement the modifications.
    • As trained to do so, provide systems administration and technical support of Data Management user experience design, data entry, data quality, data integrations, data reporting, and other data management solutions which may be supported by URIS.

20% - Project Management Assignments

  • Under the direction and general supervision of the Associate Director, Business Analysis & Systems Support Services:
    • Utilize industry and campus standard project management techniques and methods.
    • Manage multiple projects or programs simultaneously as assigned and prioritized.
    • Conduct project feasibility analysis to determine the cost and implementation timeframe for proposed projects.
    • Develop project charters and/or plans to define the objectives, deliverables, approach, risk, resources, estimated cost and timeline for small projects and assist the project lead in developing project charters and/or plans for larger projects.
    • Monitor and report project results against technical and business requirements specifications as a key member of a project implementation team.
    • Develop and maintain business requirements specifications and documentation during the lifecycle of the project.
    • Confer with project staff, subject matter experts, and software application vendors to develop business requirements specifications and provide advice and resolve issues throughout the assigned project life cycle.
    • Provide leadership to work teams assembled to plan and implement new or improved business processes. This will involve working with staff members from a wide variety of UR and sometimes campus offices, developing project schedules, identifying tasks, tracking progress, and providing overall project management for small projects (and assisting in all of these areas on larger projects). This will frequently involve coordinating training and developing user documentation.
    • Take part in technical team meetings with appropriate ITS and URIS staff to ensure projects and business requirements that need ITS services and support are on track and integrated into the systems release schedule. If assigned, and when necessary, lead the agenda of these meetings to ensure URIS/ITS projects and requirements are delivered within the agreed upon timeline.

 

REQUIRED QUALIFICATIONS

  • Excellent oral communication skills sufficient to articulate complex information in a way that is comprehensible to a diverse audience; and including demonstrated ability to communicate technical information to technical and non- technical personnel at various levels in the organization.
  • Ability to work in a collaborative and cooperative manner, and to be an effective and productive member of a team and to maintain and develop relationships across the organization.
  • Demonstrated creative problem solving ability and ability to pay close attention to detail with a high degree of accuracy and autonomy in all work. Demonstrated organization skills sufficient to establish work priorities to handle a heavy workload, maintain accurate records, and complete tasks within deadlines established by your supervisor or established guidelines in an environment with changing priorities.
  • Demonstrated ability to develop and revise business processes, procedures, help and support documentation and related training materials; and to effectively participate in and oversee associated systems planning, process analysis, implementation, and upgrade projects.
  • Demonstrated ability to read, learn, interpret, and apply policies, rules, and regulations governing data stewardship/governance to all work.
  • Previous proven business process analysis experience and experience analyzing business needs and creating high- level and detailed functional requirements and specifications, both system (application) and data-focused (reporting & data integration) to meet those needs; the ability to develop such specifications from vague and often changing requirements.
  • Experience in defining requirements for data integration between systems, data migration to a new system, and the specification of data services that include features/functions to ensure data quality and enforce business process and data governance rules/policies.
  • Skilled in the use of spreadsheets, word processing, and databases and at least some experience in the use of business process modeling tools such as Visio or Lucidchart and project management tools such as Smartsheet, Asana, Atlassian JIRA, or Microsoft Project, or Asana.
  • Excellent written communication skills necessary to create clear, concise, and effective correspondence, procedures, and training materials.
  • Ability to learn, use, and support the Affinaquest CRM (built on Salesforce), Perceptive Content, reporting tools and query languages (e.g. SQL, SOQL) with proficiency.
  • Two years or more of business analysis experience. Req Demonstrated experience in designing and developing training curriculum and materials and conducting in-person and remote training, particularly for business process training topics.

 

PREFERRED QUALIFICATIONS

  • Advanced knowledge of data management systems, practices and standards; and familiarity with highly complex logical data design and data mapping and/or data conversion.
  • Experience in a development/advancement services unit which directly supports systems and services utilizing Salesforce.
  • Technical project management experience.
  • Experience in a higher education fundraising organization, specifically in the areas of multi-channel marketing (email, social, text), volunteer management, alumni and friends group membership management, automated customer engagement solutions, marketing and communications, and/or government and community relations.
  • Salesforce Administrator certification.
