The School of Medicine has an outstanding opportunity for a Data Entry Analyst.

The School of Medicine (SOM) Dean’s Office Data Entry Analyst reports directly to the School of Medicine Academic Appointments and Compensation Data Analytics Manager. The Data Entry Analyst will provide expert consult and complex support within the Office of Academic Appointments and Compensation for 31 SOM departments.  The position will handle matters requiring independent judgment, analysis, and discretion in effecting, executing, and discharging personnel functions in the School of Medicine Information Systems.  The SOM’s faculty database carries many complexities in working with and interpreting multi-source financial data.  This position will have primary responsibility over the data integrity of the human capital information in multiple sources.  This position will be highly analytical, resourceful, customer focused, team oriented, and have the ability to work independently under time constraints to meet deadlines. This position is expected to understand, interpret, and apply appropriate policy, procedure, and required HR laws and regulations. 

The Academic Appointments and Compensation office serves as the primary academic human resources facility for SOM chairs, administrators and staff including those at UWP/CUMG and closely affiliated institutions. Faculty decisions are influenced on a daily basis by independent judgement, analysis, review and decision-making related to the interpretation and application of complex, multiple source policies and procedures. SOM staff rely on this unit for direction and guidance. If specialized knowledge of policy and procedures of the University, School, UWP/CUMG and closely affiliated institutions are not provided, including appointment, promotion, salary issues and compliance regulations, a significant negative effect could occur.

The role of the Data Entry Analyst is vital to the School’s data integrity in Workday, Faculty Information System (FIS) and other sources.  This role will work closely with the Data Analytics Manager to analyze, validate, and correct employee data within the system for the entire School of Medicine population.  

RESPONSIBILITIES
This position requires significant organization, problem-solving, project management and communication skills with frequent and substantive interactions within and outside of the Office of Academic Appointments and Compensation. Individual initiative, solid judgement, discretion regarding sensitive and confidential matters and superior customer service skills are all necessary for the tasks assigned. This position requires accuracy, efficiency, flexibility, creativity, and a desire to serve multiple stakeholders, while working within UW regulations.

Data Analyst Projects:
• SOM academic personnel data integrity. Continually analyze, audit, and review data elements within Workday and the SoM Faculty Information System to ensure accuracy of data within both systems. These include, but are not limited to, academic titles, salary, additional compensation, and dates.
• Compensation Cap Analysis and Reporting.  Under the direction of the Analyst, run monthly compensation cap reports and track issues through to resolution. Ensure that accurate alternate cap compensation information is accurately captured in the SoM Faculty Information System.
• Participate in annual data analysis processes to keep data across systems accurate and up to date.  Examples of these projects may include scrubbing data between the SoM Faculty Information System and Workday for the annual and term reappointment process and Office of Academic Personnel Clean-up Activities.
• Work with the Data Analytics Manager on the annual AAMC Faculty Salary Survey.
• Produce standard financial summaries, statistical reports, rosters and lists.  Assist in the development of additional reports as needed.
• Provide analysis of data as needed; select datasets; download data; manipulate information using Excel in order to look at trends or respond to specific inquiries.  An example of this includes working with the Data Analytics Manager on the College Faculty process each year.
• Responsible for other ad-hoc data and analysis requests as needed.

Data Entry:
• Compile faculty data into the Faculty Information System (FIS) database through both manual entry and uploading of files, while reviewing the accuracy of data from standard UW forms Ensure that data from different sources is consistent.
• Maintain accuracy and consistency of data through routine verification procedures.  Research and resolve any inaccuracies or inconsistencies.

Workday Transactions:
• Transact on faculty HR actions (such as one-time payments and actions related to data integrity clean-up) in Workday (the UW HR/P system), and the School of Medicine Change Transaction Memorandum (CTM) following the timelines and expectations of payroll, central campus, School of Medicine and practice plans.

Other Projects:
• Identify and recommend process improvements to ensure data integrity not only within Academic Appointments and Compensation, but also for 31 departments.
• Complete special projects for the director, analyst, associate dean, dean and executive leadership.
• Conduct continuous performance improvement to identify and implement efficiencies and develop resources.

MINIMUM REQUIREMENTS
Bachelor's degree in Human Resources Management, Business Administration or other related field. Two years' work experience preferably in human resources at a diverse, multi-faceted organization. Equivalent experience may substitute for degree requirement.

• Thorough knowledge of HR policies, procedures, principles and practices.
• Expert knowledge of Excel.
• Ability to analyze needs, assess potential avenues, and implement creative solutions to ensure a steady flow of high-quality, high-achieving staff.
• Excellent interpersonal and communication skills (written and oral).
• Ability to communicate in a diplomatic, friendly, yet effective manner with SoM leadership, staff, and central campus offices.
• Highly organized, demonstrate ability to multitask in a consistently fast paced environment in an organized and efficient manner.
• Self-motivated, flexible, creative, ability to prioritize and be solutions orientated.
• Ability to creatively solve problems in order to meet goals and objects.

Equivalent education and/or experience may substitute for minimum requirements.
