Founded in 1955, the Albert Einstein College of Medicine (Einstein) is one of the nation’s premier institutions for medical education, basic research and clinical investigation.   • Responsible for interdepartmental billing for animal purchases and processing invoices.
  • Review, copy, correct and approve vendor invoices for animal purchases for submission to Accounts Payable.
  • Must match copies of vendor invoices to animal order requisitions and arrival slips and enter data for rebilling into database.
  • Monthly billing for department services such as animal care, technical services, drugs and supplies.
  • Place orders with vendors for the purchase of animals if necessary.
  • Assist investigators in calculation of animal purchase and care charges for grant applications.
  • Assist investigators in obtaining Animal Institute services and answer questions relating to billing issues, location of animals in the IAS facility cost of services and charges.
  • Confirm collection of all data necessary for billing per diem services.
  • Confirm preparation for the counting of animals and monthly collection of census sheets (including prepare and calculate census sheets for data input).
  • Receive, review, calculate and input monthly census information for billing per diem housing charges.
  • Prepare and distribute management reports.
  • Route and submit monthly bills to investigators.
  • Ensure computer integrity - backup, security, servicing and archiving.
  • Provide, under minimal direction, reports synthesizing stored date.
  • Suggest alternative means available from system for obtaining and classifying requested data.
  • Collect, assemble, place in proper format and arrange data following prescribed procedures necessary for input into system
  • Maintain files.
  • Assist the Animal Welfare Office in carrying out the recommendations of AIC pertaining to animal orders requested for protocol use.
  • Perform other related duties as assigned.


  • High School Diploma and 3 plus years of clerical experience is required.
  • Skills and Competencies Candidate must be detail oriented and accustomed to working with numbers.
  • Data entry experience preferred and proficiency in spreadsheet software, such as Excel a plus.
  • Must be able to work independently with  minimum supervision.
  • Must be capable of problem solving and resolving billing issues which might arise.
  • Must be able to work under pressure and meet finance deadlines.
  • Must be able to multitask and switch between programs as required.
