Posting Summary
Rutgers, The State University of New Jersey is seeking a Data Control Clerk I in Pediatrics at Robert Wood Johnson Medical School. 
Under the direction of The Boggs Center’s Program Director, coordinates data compilation and is responsible for the accurate processing and entry of information into computer system. Provides varied and complex administrative and general office services as required by the department. Provides customer service and support to external entities using varied software applications such as the college of direct support.
Among the key duties of this position are the following:
  • Responsible for the College of Direct Support (CDS) system maintenance, data entry and clean-up, trouble-shooting, dissemination of communications to user lists.
  • Provides remote technical assistance to external customers on basic elements of use of College of Direct Support platform.
  • Assists in short and long-range planning by identifying needs and retrieving relevant information for use in the computer program database.
  • Organizes assigned work, reviews and analyzes the problems related to work and develops effective work methods to improve the workflow.
  • Collects and inputs all pertinent data as necessary for accurate and proper completion of publications, reports, presentations and other documents adhering to instructions, guidelines and prescribed formats. 
  • Maintains electronic and hard copy files on correspondence and other project documentation and updates resource materials as requested by project staff.
  • Provides administrative and general office services including preparation, typing, proofreading and editing letters, memos, reports, labels, correspondence, reports, manuals, websites, etc. using current software. 
  • Handles site and equipment coordination, registration, and preparing for conferences, workshops, seminars, training events, and meetings.
  • Handles appointment scheduling, events calendar and travel arrangements of assigned faculty and staff, including processing necessary forms (travel approvals/expenses, requests for checks, etc.) 
  • Provides administrative support to student programs, including handling of event support and processing of university required paperwork. 
  • Responsible for incoming telephone calls, screens inquiries, provides necessary information when appropriate, and relays information. 
  • Assists in monitoring the attainment of goals and objectives and in projecting future program needs.

COVID-19 Immunization Requirement

  •  Three (3) years prior clerical experience, including knowledge of PC software programs used by the department, including Power Point, Word, Excel, Adobe Professional and Internet.

Physical Demands and Work Environment
PHYSICAL DEMANDS: Travel to event sites throughout the state. Lift approximately 25 lbs. in order to move event equipment and set up training sites. 
WORK ENVIRONMENT: Generally pleasant working conditions in a clean, well-lighted quiet to moderately loud setting.
