About the Role:
We are looking for a talented, energetic professional to join our community as a Data Administrator supporting Business Development, Strategic Engagement, Talent Acquisition, and Communications. Reporting to the Associate Director of Strategic Engagement, you will be responsible for maintaining the Hubspot database, supporting a Moves Management system and creating queries, reports and dashboards.


Job-Specific Responsibilities

What you'll do:

  • Develop clear processes to ensure information is captured, recorded and used to a high quality and quantity standard.
  • Manage the Hubspot database, including but not limited to: set up and training for new users, import and export of data, global add and changes to records, monitor processes, perform duplicate management, email distribution lists and event lists.
  • Serve as the Institute’s expert in database best practices and integrity as they relate to business development, strategic engagement, human resource recruiting and communications.
  • Work closely with the Information Technologies department to ensure security compliance is up to date and functioning at maximum capacity.
  • Work with relevant departments to identify areas that would benefit from new or improved processes in relation to capturing, recording and using information.
  • Produce and interpret management reports and analytics
  • Support staff’s production of reports, queries, exports, and coding to facilitate excellent communication and record keeping.
  • Work with the Associate Director of Strategic Engagement to implement hierarchy, strategies and tactics to improves engagement across the departments.
  • Liaise within the Institute ensuring data and information provides key information for decision making and strategy implementation.
  • Support departments to accurately interpret reports and queries to monitor and report on progress of KPIs. Recommend additional performance queries and/or reports to improve insights.
  • Provide ongoing training, maintenance and troubleshooting support for current systems
  • Provide structured database training and ad-hoc advice to a diverse and multi-level skill group.
  • Ensure all training materials and procedures are regularly updated and communicated as appropriate.
  • Manage, implement and document best research practices for the departments, including the use of resources and the tracking of information in the database.
  • Participate in projects and initiatives as requested. Continually review existing work practices and make recommendations for improvement.

Basic Qualifications

What you'll need: 

  • A minimum of 3 years work experience with data processing, cloud-based Customer Relationship management software, multi-operational system, or related experience required. A college degree may count towards years of experience.

Additional Qualifications and Skills

Desirable Skills:

  • Bachelor’s degree strongly preferred.
  • Previous experience working in Philanthropy, Healthcare and/or Biomedical industry preferred
  • Prior experience with data analytics, data mining/modeling, preferably in a department that utilizes and emphasizes prospect management is desired.
  • Prior experience with Hubspot preferred.
  • Highly effective written and oral communications skills; proficient at meeting facilitation

Working Conditions

This position may be based on our campus in Boston and also provides flexibility for a full or partial remote workplace location. All remote work must be performed within a state in which Harvard is registered to do business. In addition, subject to business needs, the Wyss generally supports flexible work arrangements.
