Summary of Job Duties:

The Program Assistant assists in the implementation of programs, projects, education, training, and administrative tasks associated with project activities of the Cybersecurity Defense Initiative by providing general office support assistance in the management of course offerings, records, student enrollment, instructor contracts, and course material.
Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.

Qualifications:

Bachelor’s degree or equivalent combination of education and experience. Knowledge of the criminal justice or education field through education and/or experience. 2-3 years of related experience. Workday experience is preferred.

Essential Duties and Responsibilities

Course Facilitation and Management (25%)
a.    Ensures that all paperwork and travel arrangements for staff and instructor’s travel are completed, signed, and processed in a timely manner. 
b.    Creates and maintains an electronic file on the network drive for each staff member and instructor traveling for a course delivery or other CDI/NCPC/CJI Business.   
c.    As assigned, prepares and distributes course flyers and/or announcements, invitation letters, and class rosters. Maintains spreadsheets and other documents necessary for class management. 
d.    As needed and assigned, provide course materials in an electronic format to instructors.   
e.    Creates and maintains electronic training files for all the courses delivered through CDI. 
f.    Creates and maintains files for each CDI course with the current version of course materials displayed in a folder titled “Current Version” and all previous versions placed into a folder titled “Archives”.  
g.    Tracks and maintains a spreadsheet of all incoming CDI course registrations and replies to the course registrations with a confirmation email.
h.    Prepare travel folders for each course delivery that include hotel, airfare, and rental vehicle information for all travelers; a list of all registrations; a sign-in sheet for each day; prepare a name tent for each student; and any other information that might be pertinent to that travel.
i.    Communicates with potential course participants as needed during the course registration process and provides information to registrants as requested. 
j.    As assigned by supervisor, reviews newly developed course materials or updated course materials for typographical/grammatical errors, and reports findings to the Program Manager.  
k.    Reviews pre- and post-class forms to ensure accuracy and completeness.  

Data Management (20%)
a.    Compiles evaluation results by summarizing data, preparing a PDF document, and submitting the evaluation report to the Program Manager within 7 days after the conclusion of a course delivery.  
b.    Enter registration/evaluation information in the CJI database (Genius) as soon as possible after the registration is received. Enter data in the FEMA Reporting and Evaluation System (RES) as assigned. 
c.    Files documents, memos, and other correspondence, and compiles and maintains office administrative information and records.

Program Assistance (15%)
a.    Assists the Program Coordinator as assigned in the course scheduling process by contacting instructors about availability for delivery of NCPC/CDI courses and contacting off-site locations regarding their availability for hosting courses. 
b.    Assists the CDI Program Manager and Coordinator in coordinating all CDI programs and grant projects as assigned. 
c.    Assist the Program Manager and Coordinator as assigned with the preparation and submission of CDI/NCPC course materials and other documents that are required to be processed and submitted through the NTED Course Registration and Evaluation System (RES).   
d.    Attend state or National Conferences as assigned as a representative of the CDI or the NCPC.  
e.    Perform outreach activities to designated areas as assigned by the Program Manager or Coordinator.


Logistical Support (15%)
a.    Provides logistical support as assigned for program activities to ensure the effective delivery of training under the program.  
b.    Prepare travel documents for all staff including the Cybersecurity Program Manager, Technical Specialists, and instructors; complete travel arrangements to include booking flights, hotel rooms, and rental vehicles.
c.    Assist with logistics including packaging the mobile computer training labs and the materials (notepads, pens, etc.) needed for shipping to each training site/meeting; using an online Fed-Ex account, prepare shipping labels and schedule shipments to and from training sites/meetings.   

Administrative Support (25%)
a.    Prepares various reports, letters, forms, and paperwork as assigned; files documentation, memos, and other correspondence per CJI policies and procedures; operates standard office equipment; proofreads informational material for supervisor. 
b.    Prepare reports as assigned by the Program Manager or Coordinator. 
c.    Inventory, Order, and monitor supplies and initiate purchase requisitions to replenish supplies as needed. 
d.    Provides other assistance as needed to CDI grant programs as assigned by the Program Manager or Coordinator.
 



Salary Information:


To mid $40,000s depending upon education and experience.
