Job Summary

The Customer Services Assistant (CSA) serves UCSF tenants, applicants, and visitors as front-line reception staff and as part of the Customer Services team. The CSA is responsible for a variety of customer service and general administrative tasks and projects in support of the Housing Services mission.

The Customer Services Assistant is under the direct supervision of the Customer Services Manager. The Customer Services Team is under the purview of the Director of Housing Administration, who reports to the Assistant Vice Chancellor of Housing & Wellbeing Services.

The Customer Services Assistant is required to have superior communication and interpersonal skills, as well as strong organizational skills, the ability to work independently, to make sound judgments and handle tasks as assigned.  Additionally, this position requires the ability to work with minimal supervision. Experience in property management and/or campus-housing databases is preferred. The successful candidate must show a history of proven success working with diverse and international populations.

Based on departmental need, the work location for this position may be at any Housing Services office where customer services are required.  The Customer Services Assistant is assigned to primarily work at a front desk reception area, so the successful candidate will be able to work in a fast-paced, open office environment where it is expected that they be able to focus attention and juggle multiple responsibilities while experiencing regular interruptions. The location and schedule for this position may vary daily, subject to scheduling needs. Special conditions of employment incumbent must follow: wear closed toe shoes for safety, be available to work on July 1st (even if it falls on a Saturday or Sunday), and vacation may be restricted during peak periods.

Housing Services supports UCSF in its quest to attract and support the most talented and diverse trainees in the health sciences and to be the workplace of choice for top-tier talent. As a self-supporting auxiliary unit under Campus Life Services, Housing Services is projected to generate more than $40MM annually and have a $20MM reserve allocated to support renewal and capital projects.  Its rental income supports all operations, major maintenance and facility renewal, and new construction initiatives for its properties located at Mission Bay, Aldea San Miguel, Tidelands Housing, Mount Zion, and the Avenues Houses at Parnassus Heights.

Required Qualifications

  • High school graduation/GED and 3 years of work experience; or an equivalent combination of education and experience
  • High level of integrity and honesty (background check required)
  • Ability to adjust to a changing work schedule and location
  • Ability to lift up to 50 pounds without assistance
  • Exceptional customer service skills
  • Proven experience demonstrating excellent computer and telephone skills
  • Proven knowledge and experience with databases
  • Ability to work at different office locations when needed
  • Proven superior interpersonal, organizational, verbal and written communication skills
  • Ability to make sound judgments and to handle complex and sensitive tasks
  • Must be able to work with a culturally diverse group of students, peers, colleagues, campus leadership and customer population
  • Must have excellent problem-solving skills and the ability to prioritize and balance a variety of tasks in an efficient and organized manner
  • Must support at programming events, which may be held outside of normal business hours or on the weekends
  • Familiarity with Microsoft Office Suite or equivalent office solution programs (Examples: Word, Excel, PowerPoint, Outlook, Google docs, Google sheets, Google slides, etc.)
  • Familiarity with Residential Management Systems or other Property Management software
  • Ability to work independently with minimal supervision and as a team player

Preferred Qualifications

  • General office administrative experience
  • Experience working in a customer facing environment
  • Previous experience working in campus housing at a college/university setting
  • Experience with public speaking: giving tours to groups, presenting information sessions, etc.
  • Detail oriented
