Job Description Summary

The Senior Customer Service Assistant is responsible for providing primary reception to students, staff and visitors coming into Counseling & Psychological Services (CAPS). This position must maintain current knowledge of staff and services available both within CAPS and also outside services including the B/CS community resources. This position facilitates clients/student services and the smooth flow of CAPS business.

Qualifications

Required Education:

High School Diploma or any equivalent combination of education and experience.

Required Experience:

Three years in general office or clerical work.

Preferred Education:

Associate or Bachelor degree.

Preferred Experience:

Five years progressively responsible position with some supervisory experience.

Required Special Knowledge, Skills, and Abilities:

Effective communication skills, organization skills, and basic computer skills. Working knowledge of word processing, spreadsheet and/or data entry applications. Interpersonal communication skills, leadership qualities, ability to organize and make decisions. Ability to multi-task and work cooperatively with others.

Job Responsibilities

50% CUSTOMER SERVICE: Schedule career, personal, alcohol/drug abuse, crisis, and other counseling appointments. Schedule students for groups, workshops, and follow-ups. Answer questions on the phone and from walk-ins regarding personal counseling, psychiatric, alcohol/drug abuse and crisis intervention. Serves as a main point of contact through answering the phone and directing walk in traffic.
30% BUSINESS SUPPORT: Process personal, academic/career, drug/alcohol abuse clients and verify enrollment. Maintains schedules for personal, and drug/alcohol counselors.
15% CRISIS CLIENT PROCESSING: Assist and help process crisis walk-ins and phone calls to expedite the counseling session for the clients. This includes updating paperwork, patching in clients in CAPS database, assisting in the computer lab, and providing a comfortable atmosphere until pick up by the counselor.
5% Other duties as assigned.
