Date Updated: 2/22/22 11:44 AM     The  Customer & Mail Services Assistant serves UCSF tenants, applicants, and visitors on-site as a front-line customer service staff and as part of Housing’s Customer Services team. The CSA is responsible for a variety of customer service and general administrative tasks and projects in support of the Housing Services mission.   The  Customer & Mail Services Assistant is under the supervision of the Customer Services Manager. Housing Services is under the purview of the Director of Housing Administration, who reports to the Assistant Vice Chancellor of Housing & Wellbeing Services.  The  Customer & Mail Services Assistant is required to have superior communication and interpersonal skills, as well as strong organizational skills, the ability to work independently to make sound judgments and handle tasks as assigned. Additionally, this position requires the ability to work with minimal supervision. Experience in working with Mac computers, the internet, and property management and/or campus-housing databases is preferred.  The successful candidate must show a history of proven success working with diverse and international populations.   Based on departmental need, the work location for this position will vary between all Housing Services residential communities where customer services are required.  The Customer & Mail Services Assistant will rotate throughout the residential communities providing on-site customer service needs. The latter part of the shift will be reserved for processing mail and packages for tenants. On-site services will vary and include duties such as conducting and preparing key inventory, move-out verifications, tenant move-in packets, and follow-up on customer service inquiries. Mail and Package duties include accurately sorting and distributing packages, as well as mail, to mailboxes and package lockers, forwarding mail, operating and auditing the Parcel Pending and Luxer package locker systems, and providing excellent customer service to tenants regarding mail or package issues. The successful candidate will be able to work in a fast-paced, open office environment where it is expected that they be able to focus attention and juggle multiple responsibilities while experiencing regular interruptions. The location and schedule for this position may vary daily, subject to scheduling needs.  This position involves administrative office work at Parnassus (the Aldea San Miguel and Avenues Homes), the Mount Zion Housing property, and mail and package work at the Mission Bay and Tidelands Housing properties. The incumbent will need to travel between locations using UCSF Housing & UCSF transportation resources. The location and schedule for this position may vary daily, subject to scheduling needs. Special conditions of employment incumbent must follow: wear closed toe shoes for safety, be available to work on July 1st (even if it falls on a Saturday or Sunday), and vacation may be restricted during peak periods.

Required Qualifications

• High school graduation/GED and 3 years of work experience; or an equivalent combination of education and experience
• High level of integrity and honesty (background check required)
• Ability to adjust to a changing work schedule and location
• Ability to lift up to 50 pounds without assistance
• Exceptional customer service skills
• Proven experience demonstrating excellent computer and telephone skills
• Proven knowledge and experience with databases
• Ability to work at different office locations when needed
• Proven superior interpersonal, organizational, verbal, and written communication skills
• Ability to make sound judgments and to handle complex and sensitive tasks
• Must be able to work with a culturally diverse group of students, peers, colleagues, campus leadership, and customer population
• Must have excellent problem-solving skills and the ability to prioritize and balance a variety of tasks in an efficient and organized manner
• Familiarity with Microsoft Office Suite or equivalent office solution programs (Examples: Word, Excel, PowerPoint, Outlook, Google docs, Google sheets, Google slides, etc.)
• Familiarity with Residential Management Systems or other Property Management Software
• Ability to work independently with minimal supervision and as a team player 


Preferred Qualifications

• General office administrative experience
• Experience working in a customer-facing environment
• Previous experience working in campus housing at a college/university setting
• Experience with public speaking: giving tours to groups, presenting information sessions, etc.
• Detail oriented
