Job Summary

The CRH/REI Analyst will play a critical role in managing and performing project management coordination,
administrative services and overseeing the academic operations of the Division of Reproductive Endocrinology
and Infertility (REI) within the Department of Obstetrics, Gynecology, & Reproductive Sciences.

Under general supervision of the Division Administrator and Administrative Director, the incumbent is
responsible for executing on various operational functions/services which may include activities in finance and
human resources as well as IT, facilities, or meeting coordination. General operational management duties
include project management of REI’s initiatives, logistics operations of small to large scale meetings both
interdepartmental and UCSF wide, ability to create, run, interpret, analyze and manage reports, and ability to
support the rollout for True North and lean initiatives within ambulatory services within REI. With their expertise
in analytical practices, policies, and procedures, the incumbent will manage complex time-sensitive projects on
behalf of the Division Chief, Directors, and other leadership team members and will serve as the leadership
support for REI Managers. They will serve as the primary liaison to faculty, staff, and external organizations,
providing executive level support in the absence of key personnel. The CRH/REI Analyst position requires a high-
level individual with excellent judgment who is capable of independently carrying out duties to completion with
minimal guidance and supervision.

Excellent communication skills, both verbal and written, along with diplomacy and tact, are essential in this role
as s/he will attend meetings, take notes, and synthesize meeting data into coherent written minutes for
distribution. The ability to triage and prioritize in a fast-paced environment, work independently with minimal
supervision, stay current with technological applications, and maintain meticulous attention to detail are also key
aspects of this role. Flexibility, pragmatic problem-solving skills, and a team player mindset will contribute to
their success in supporting a diverse team. This position may also require attendance to other duties as
assigned, providing backup support as needed.

Department Description

The Department of Obstetrics, Gynecology and Reproductive Sciences (Ob, Gyn & RS) is a major academic
Department in the School of Medicine, engaged in clinical, research and training activities at the Parnassus,
Mount Zion, and Zuckerberg San Francisco General Hospital campuses, the new Betty Irene Moore Women’s Hospital at Mission Bay, as well as satellite locations throughout the Bay Area, with an annual operating budget of $149 million. The Department has 100 full-time faculty, 117 other academic appointees, 13 post-doctoral fellows, 20 clinical fellows, 32 residents, 138 voluntary clinical faculty and 270 staff.

The UCSF Center for Reproductive Health located in Northern California's San Francisco Bay Area offers a
comprehensive array of infertility evaluation and treatment options for both men and women. Our services
include: Infertility Evaluation, Male Reproductive Health, Fertility Preservation, Reproductive Surgery, Tubal
Reversal Surgery, In Vitro Fertilization (IVF), Intracytoplasmic Sperm Injection (ICSI), Pre-implantation Genetic Diagnosis (PGD), Intrauterine Insemination (IUI), Ovulation Induction, Donor Sperm Insemination, Egg Donor Program for Donors, Egg Donor Program for Recipients, Polycystic Ovarian Syndrome (PCOS), Recurrent Pregnancy Loss, Gestational Surrogacy, Genetic Screening and Counseling Psychological Support. In addition, Telehealth/Zoom is available for: Psychology, Genetic Counselors, new patients, follow ups, IVF Orientation and Injection classes.


Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training
  • Minimum of 3 or more years of Project Management experience and/or equivalent experience in logistics orcoordination of large to small meetings/events or training
  • Experience with preparation of technical manuscripts, abstracts, protocols, consent forms, reports, applications and CV’s
  • Previous experience working in women’s health
  • Thorough knowledge of University rules and regulations, processes, protocols and
  • procedures for budget, accounting and fund management, and / or personnel management
  • Interpersonal skills including verbal and written communication, active listening, criticalthinking, persuasiveness, advising and counseling skills
  • Knowledge of a variety of administrative operational activities such as event planning,
  • basic fundraising processes, risk management planning, website design, accounting and
  • payroll, and contracts and grants regulations and guidelines
  • Solid knowledge of common University-specific computer application programs,including
  • Word, Excel, PowerPoint, Endnote, Mail Clients and Scheduling Software, WebEx, Zoom,Jabber
  • Ability to use discretion and maintain confidentiality
  • Strong skills in short-term planning, analysis, problem-solving, and customer service
  • Excellent organizational, attention to detail, and time management skills
  • Demonstrated ability to interact effectively with wide range of executives/faculty, staff, trainees, campus, and community representatives, sometimes under pressure, remaining proactive, resourceful, professional, and efficient
  • Self-directed, strong initiative and flexibility to work independently as well as within a team.
  • Ability to multi-task, independently prioritize, organize, make sound judgments, and
  • coordinate multiple types of tasks, while under the pressure of seemingly conflicting deadlines
  • Demonstrated ability to prioritize work accurately and independently, and to function effectively under the stress of competing priorities. Much of the work is self-directed, and the incumbent must be able to identify when to seek supervisor’s guidance
  • Persistence with professionalism, patience, and grace under fire, while continuing to courteously request needed information

Preferred Qualifications

  • Experience with project management tools/software such as MS Project, Asana
  • Thorough knowledge of financial analysis and reporting techniques, and / or humanresources policies and procedures for staff and academic employees
  • Experience with QGenda software
  • Working knowledge of UC accounting and purchasing policies and procedures
  • Experience using UCSF software: MyAccess, Bearbuy, Advance, MyExpense
