Job Summary

Reporting to the Manager of Academic Administration and working closely with the Director of Undergraduate Studies and the Assistant Director of Graduate Studies, this position plays a critical role in the administration of a complex curriculum for undergraduate and graduate instruction for a large academic department. The position serves as principal administrative contact and subject matter expert for all faculty and instructional staff on all aspects of curriculum and course coordination including course catalog maintenance, course scheduling and room reservations, Committee support, data collection and report preparation, as well as policy implementation. The position provides academic support to faculty and the Department leadership as needed at the start of each semester. Provides undergraduate programs event support and serves as in-person backup support of the Undergraduate Studies office and the Department's front desk.


Position Description

Course Catalog/Curriculum Coordination: Working closely with the Manager of Academic Affairs, the Director and Assistant Director of Undergraduate Studies, and the Assistant Director of Graduate Studies, coordinates all aspects of the Department’s section of the university’s course catalog, with an average of over 300 undergraduate / graduate courses each year. At the Department of Government, curriculum planning is a year-long process that involves a lot of coordination working closely with the Directors of Graduate and Undergraduates Studies, the Curriculum Committee, and the Manager of Academic Administration to ensure essential courses are covered for the next academic year, collecting faculty’s teaching plans from a large faculty body, and entering their courses in the Department’s internal planning tool to then create and add courses to the catalog.

Course Scheduling:

  • Manages course scheduling, listing, double listing, cross-listing and co-taught courses in my.harvard as well as  exemption requests for non-compliant meeting times.
  • Liaises with the University Registrar and local Building Operations to find classrooms for Gov's courses.
  • Assures Gov’s compliance with registrar’s office policies, communicates and negotiates conflicts as needed. Helps maintains course-related information on department website as needed.

Classroom Coordination: 

  • Collects course/classroom preferences from faculty members.
  • Captures classroom preferences and manages faculty classroom requests through EMS, RoomBook, and other Department’s room booking systems, matching faculty and course needs with available classrooms.
  • Completes course data entry and maintenance in my.harvard for over 150 courses/sections per semester.
  • Does course sectioning during prior term registration period, coordinating a complex process and working on very tight timeframes and a limited inventory of classrooms that fit the preferences of faculty.
  • Collaborates and maintains relationships across the FAS with various external collaborators, including fellow curriculum coordinators, the classrooms office, registrar’s office, educational support services, building and security operations, and the office of undergraduate education, among others. 

Academic Support: 

  • Produces reports on numbers of courses by field, enrollment histories, course status reports, and other reports as needed by leadership.
  • Coordinate Committee meetings, including scheduling, preparation of materials, taking minutes, and other coordination duties. 
  • Provide Canvas support: assist new nonladder faculty with setting up their course sites, uploading readings, and troubleshoot any issues that arise. 
  • Provides academic support in other areas as needed and at the discretion of the Manager of Academic Administration.

Administrative Support: 

  • Provides support for a small portfolio of undergraduate student events, collecting information and assisting with creation of weekly undergraduate program’s newsletter, and serving as a resource when needed.
  • Helps the undergraduate studies team provide customer / advising support for walk-in students/visitors and helps resolve in-person requests for information and assistance as needed. Provides in-person back up coverage for the undergraduate office suite, sharing program related information with students on a case by case basis. 
  • Provides back up coverage for the Department’s front desk one day per week and as needed during department business hours.
  • Takes on ad-hoc projects assigned by manager or DAO during summer months and times of the year when the volume of curriculum coordination-related work decreases.
  • Work schedule requires a minimum of 4 days of in-person work performed at the office.

Basic Qualifications

Three years of student services or administrative experience. A combination of education and experience will be considered.


Additional Qualifications and Skills

Bachelor's degree preferred. Must have some experience with academic planning, curriculum, and policy. Experience and knowledge of My.harvard, Roombook, EMS, database application, and curriculum / catalog coordination. Superior organizational skills and ability to handle multiple tasks simultaneously and meet deadlines in a busy, complex environment with competing priorities. Must demonstrate impeccable attention to detail. Must be proficient in standard office software, especially Excel, along with Word, email and calendar systems and the ability to learn new software. Ability to work independently and anticipate and resolve problems with minimal supervision in a work environment of multiple and conflicting priorities. A high level of competence and a demanding combination of time management, administrative, organizational, and interpersonal skills, flexibility, and good judgment. Excellent written and oral communication skills. Commitment to understanding and clearly communicating Harvard policies, and comfort enforcing policies with faculty is essential. Team-oriented mindset is a must.


Working Conditions

The position requires a minimum of four days of work on campus, with more flexibility for remote work provided at the end of the academic year.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
