The Santos Manuel Student Union (SMSU), through its programs and facilities is a focal point of the campus where students, faculty, staff, administration, alumni and guests develop an enduring connection to the university. As a campus social hub, the SMSU assists in the retention and development of students, while encouraging a deeper understanding and appreciation of cultural pluralism, gender equity, and ethnic diversity. We accomplish this by providing a variety of cultural, social, educational and recreational activities, which create an environment conducive to personal growth and development. Planned activities also provide students with leadership opportunities and employment, which promotes an active learning experience as well as relaxation, entertainment, and social interaction. As the meeting place on campus for students and organizations, the facilities provide a comfortable and relaxing environment that embodies the delivery of services important to the university community. As a bridge between formal learning and life experience, co-curricular activities coordinated by the SMSU serve as a training ground for development of student leaders.

Employment Summary

Full-Time, non-exempt position. 

Work Schedule

This is a regular, full-time, hourly position. Willingness to work a flexible schedule as necessary in order to respond to emergency/urgent situations is required. This may include working extended hours, evenings, weekends and some holidays.

General Purpose

Under the direction of the Under the direction of the Budget Analyst and Human Resource and Risk Manager, the Corporate Services Processor is responsible for providing technical, budgetary, clerical and administrative support to the human resources, payroll, and financial services departments.

Human Resources and Payroll Support Responsibilities:


●  Supports the needs of the Santos Manuel Student Union Corporation Human Resources and Payroll Services department focusing on compliance and payroll to include assisting with the onboarding of new hires, recruiting support, data entry, tracking, filing and record keeping.
●  Conducts data entry of new hires, separations, rate changes, time clock corrections, and other changes as needed in the payroll and Human Resources Information System (HRIS).
●  Supports recruiting with administrative assistance including uploading and distributing candidate materials, maintaining candidate matrices, and scheduling interviews.
●  Assists with the creation and implementation of the student and staff onboarding program.
●  Processes semi-monthly student assistant and staff payroll and submits to UEC.
 
Budget and Data Entry Responsibilities:
 
•  Coordinates data entry as needed in support of the SMSU budget process
•  Creates Purchase Orders and Requisitions using State Side funds.
•  Runs monthly expense and revenue reports, conducting data entries for general payments to vendors and for revenue and reimbursement accounts.
•  Processes performer contracts, issuing contract numbers, maintaining contract logs and verifies checks are issued
•  Receipts monies for SMSU and provides monthly invoicing to on-campus departments and off campus vendors. Conducts monthly reconciliation between PeopleSoft and Budget Sheets. Enters Staff and Student payroll in Budget Sheets.
•  Prepares disbursement authorizations for SMSU invoices and any other disbursements requiring payment by check. Submits electronic documentation via Adobe sign. Verifies
deposit monies received from customers. Sends statements and past due notices for open invoices.
•  Provides clerical support, including filing, recordkeeping, making labels and organizing binders, and answering phone calls as needed.
•  Remains current on data entry software and software upgrades.
•  Participates and serves on SMSU and campus-wide committees as directed.
 
Supervisory Responsibilities
May provide guidance and work direction to student assistants but has no formal supervisory responsibilities for appraising performance; rewarding and disciplining employees or addressing complaints and resolving problems.

Education and/or Experience

High School Diploma or GED required and six months of related experience in a clerical environment.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization. Ability to use word processing and spreadsheet software and other related software.

Mathematical Skills

Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills

To perform this job successfully, an individual should have knowledge of MS Office, including Excel Word, PowerPoint, Outlook and Internet Explorer. Understanding of HRIS systems.
