As part of the Recruitment Experience and Communications team, the coordinator senior works with Admission Services leadership, academic units and university partners to create a unique and engaging visit and event experience for prospective students, families and group visits. Based on the West campus, this person should be highly organized and comfortable making decisions and taking ownership of the recruitment experience and providing excellent customer service, including planning, organizing and coordinating activities, functions and programs in accordance with enrollment goals, priorities, time limitations, budget and other specifications.

Essential Duties

  • Manage West Welcome Center space and access for staff, and oversees the strategic use of the Welcome Center.
  • Supervise Customer Service Specialist at the West campus Welcome Center.
  • Supervise and train student staff for the West campus; prepare daily responsibilities and train on any new information regarding Admission Services and system’s needs.
  • Partner with West campus leadership and Admission Services leadership to develop a vision for visits and events unique to the West campus experience and in accordance with enrollment goals and initiatives. 
  • Serve as the advisor for the Devils’ Advocates peer recruitment organization for the West campus and develop training, professional development, membership growth and retention plans for the organization. Create engaging experiences with student volunteers and create connections as a mentor.
  • Assist with the implementation and evaluation of departmental campus visit programs and events for prospective freshman, transfer, international and graduate students and their families.
  • May coordinate, monitor or supervise the activities of subordinates.
  • Coordinate logistics, scheduling, staffing needs and participant communications for both on and off campus visit programs and events.
  • Coordinate activities of program with inter-related activities of other programs, departments or staff to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications.
  • Assist with the review of communications and collateral as they relate to assigned events (reviewing email and print collateral, initiating RSVP sites, creating confirmation emails, etc. in partnership with a communication manager).
  • Act as main campus contact when Admission Services leadership is not present.
  • Collaborate with university staff (both academic and non-academic), outside/community agencies, and students for all campus visit and event processes to facilitate objectives of the program.
  • Ensure the goals and objectives for campus visits and events are accomplished in accordance with Admission Services, Academic Enterprise Enrollment and ASU priorities, time limitations and funding limitations.
  • Evaluate program effectiveness to develop improved methods; devise evaluation methodology and implementation; analyze results and recommend and/or take appropriate action.
  • Develop and recommend new or revised program goals and objectives.
  • Incorporate significant events of the different colleges into the campus visits and events programs as well as ensure the dialogue is accurate, current and represents the vision of Arizona State University.
  • Prepare proposals and ongoing recommendations to the campus visits and events team.
  • Coordinate group visits for the West campus.
  • Monitor expenditures throughout the year to ensure expenditures are spent efficiently, effectively and appropriately.
  • Maintain and administer databases relied upon to create a successful campus visit or event.
  • Represent the University through presentations at campus visit and event activities.
  • Encourage, develop and maintain effective working relationships with university departments. 
  • Prepare annual budget proposals and on-going recommendations specific to the campus visit program.
  • Responsible for periodic reports to management.
  • Train and evaluate new West campus Admission Services recruitment staff on campus visit information including the information session presentation material.
  • Represent the University through presentations at campus visit and event activities.
  • Assist West Enrollment Services staff as needed.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience in planning, coordinating and directing special events.
  • Experience utilizing event management software.
  • Experience in strategic planning, analyzing and coordinating activities and establishing priorities.
  • Experience providing customer assistance and problem solving.
  • Experience effectively managing, supervising and evaluating assigned staff.
  • Knowledge of the principles, practices and procedures pertaining to transfer and undergraduate admissions.
  • Experience in program design and development.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • Communicate to perform essential functions.
  • Drive University vehicle and/or cart to campus site.
  • Communicate verbally and in writing to perform essential duties.
  • Occasional evening and weekend hours required.
