Position Summary

Reporting to the Executive Director of Registration Services and Student Records, the Administrative Assistant provides front-line service to students, faculty, and alumni of the Law School.  The incumbent will also provide general administrative support to the Office of Registration Services. 


Responsibilities

  • Responds to correspondence, phone inquiries, and email requests from faculty, students, administrators, alumni, and others in a timely fashion.
  • Maintains on-going communication and relationship with Board of Bar Examiners in every state.  Responsible for all bar exam certifications, Committee on Character and Fitness reports, and other correspondence relating to alumni certification to practice law.
  • Communicates complex information on requirements for enrollment, academic progress, and graduation certification in accordance with the rules and regulations of the American Bar Association, the NY State Court of Appeals, the Law faculty, and Columbia University. 
  • Processes registration, grades, class lists, rosters and other faculty, student, and administrator requests.
  • Assists in the collection of outstanding grades from faculty, and for recording grades in multiple databases.
  • Processes student petitions during the Change of Program period within Law School regulations and ABA guidelines, including cross-registration requests from Law students, cross registration requests from other CU students, requests for change to residence requirements, for adding and dropping courses, etc.
  • Reviews incoming student records (1L & 2L transfers) for completeness: requests and collects all transcripts from prior educational institutions and records in database.
  •  Assesses Continuing Legal Education (CLE) credits earned by full-time and adjunct faculty at the end of each semester and ensures that this is communicated in a timely fashion.
  • Assists Director in rescheduling students’ exams.
  • Proctors exams as needed; assists with the preparation and administration of all exams.
  • Provides standard reports from Law School and University registration databases.
  • Assists in record retention processes.
  • Conducts general office clerical tasks:  filing, standard forms, maintaining display case, various types of letters of certifications for students, etc.
  • Performs other duties as assigned.

  • Minimum Qualifications

    High School diploma required plus 3 years of relevant work experience, or the equivalent combination of education and experience, preferably in an academic setting.  Bachelor’s degree preferred.  Strong interpersonal skills and computer skills necessary.  Must be able to deal well with difficult situations, and to communicate effectively, both orally and in writing, with students, faculty and the general public.  Must be able to handle multiple tasks, prioritize, complete work with minimal supervision, and to work well under pressure with changing deadlines and priorities. Must be able to work with diverse constituencies and support an inclusive work environment.
