Job Description:

Job Summary:

Reporting to the Director of Admissions, the Coordinator is responsible for detailed, accurate and timely entry of visit requests in the Admissions Office. This person oversees the coordination of all event related communication for both Undergraduate and Graduate Admissions, including communication to guests, personnel, and vendors; deals directly with campus visit requests and event management for the Admissions Office; coordinates and maintains updates on admissions website regarding events and visits, performs administrative duties as needed for event and office budget; maintains a welcoming lobby; manages, organizes, and maintains Admission files as directed, and performs data entry as needed; works closely with the President's Ambassador manager to ensure availability and training of student workers for quality visit experiences.

Duties and Responsibilities (Essential Functions):

Coordinate planning, logistics, execution, and assessment of the following to maximize the experience of prospective students and their guests.

  • Open Houses, Preview Days, Admitted Student Day, and other special events. Responsibilities include but are not limited to the following:
    • Review schedules to avoid campus and community conflicts.
    • Secure the participation of CBU faculty, staff, and students in our recruitment events including a "run-of-show" direction and necessary training for all involved.
    • Collaborate with office of Communications and Marketing for materials and signage for promotion of the event (e.g., flyers, email graphics, mailings).
    • Collaborate with office of Communications and Marketing for print materials and signage the event itself (e.g., agenda, directions).
    • Ensure availability of necessary supplies (swag, refreshments, etc.).
    • Oversee hospitality, signage, and general appearance of venues.
    • Secure facilities/venues.
    • Execute event, including direction of personnel, including President's Ambassadors.
    • Follow-up, assess, and report regarding visit experience of students, guests and CBU community participants for tracking and continuous improvement.
       
  • Virtual Recruitment Events and the associated logistics, including but not limited to these:
    • Secure the participation of CBU faculty, staff, and students.
    • Conduct necessary training for participating faculty, staff, and students.
    • Secure technology support from CBU Institutional Technology.
    • Follow-up, assess, and report virtual visit experience of student, guests and CBU community participants for tracking and continuous improvement.
       
  • Personal Visits and the associated logistics, including but not limited to these:
    • Oversee personal visit requests, scheduling, and confirmation in Slate and in the Admissions calendar.
    • Provide itinerary and materials upon arrival.
    • Schedule interview with Admissions staff.
    • Schedule campus tour, eliciting assistance from President's Ambassadors.
    • Schedule meeting with faculty if requested.
    • Schedule meeting with coaches if requested.
    • Schedule in-class experience if requested.
    • Assist with arranging overnight stay if requested.
    • Ensure timely follow-up, assessment, and reporting of visit experience of student and guests for tracking and continuous improvement.
       
  • Coordinate off-campus recruitment travel by admissions staff.
    • Scheduling and registration for national, regional and local college fairs and related events.
    • Off-campus receptions.
       
  • Oversee budgets assigned to all applicable areas.
  • Utilize Slate CRM Event Planning module for all visit-related activities on- and off-campus, large-scale and individual.
  • Collaborate with the President's Ambassadors Program Coordinator to support Admissions events and events sponsored by the CBU president to ensure that appropriate personnel are available and prepared.
  • Collaborate with office of Communications and Marketing and/or the coordinator of Admissions social media to promote Admissions events.
  • Collaborate with the Director of Admissions and the coordinator of communications flow regarding annual recruitment communication planning.
  • Serve as content manager for admissions visit-related webpages and vendor resources.
  • Complete other duties as assigned by the Director of Admissions.

Working Conditions:

  • Full time, M-F, 8:00 am- 4:30 pm, Office Setting
  • Occasional evenings and weekends, as necessary
  • Flexible schedule required, including the ability to work some evenings and weekends.


Requirements:

  • Bachelor's degree required.
  • Valid driver's license
  • Excellent interpersonal and communication skills, written and oral.
  • Proficiency with Microsoft Office 
  • History of successful event planning, from vision to detailed execution.
  • Ability to develop relationships with a wide variety of constituents: CBU faculty, staff, administration, alumni, and students; prospective students and their families; key influencers such as alumni, guidance counselors, and employers.
  • Appreciation and understanding of the mission, values, educational goals and objectives of Christian Brothers University
  • Effective time-management and the ability to work in a complex, data- and timeline-driven environment.
  • An understanding of private college recruitment and admissions, including the important role of events and hospitality
  • An understanding and use of data in effective decision-making, and the utility of the admissions operations function in achieving efficiencies and data integrity.

Job Qualifications/Preferences:

  • Experience with Slate preferred.
