Definition of Class

The Coordinator of Events and Facilities Services position will provide support to the Assistant Director of Event Management and Services through daily operations management of the Student Union facility while ensuring a high level of customer service, active supervision, as well as skilled proactive technical support. The position is responsible for receiving and processing reservation requests as well as communicating with both internal and external clients. This role participates in the recruitment, training, and supervision of the department's event and facility support student staff and building managers. This position coordinates with other professional staff to maintain consistency of services and operations provided by the department.

Examples of Work Performed
  • Manages day to day operational functions of event planning.
  • Collaborates with internal and external clients to ensure event spaces are reserved.
  • Ensures assigned spaces are clean and maintained.
  • Coordinates the planning and execution of on and off-campus events.
  • Works with outside vendors to coordinate catering and other required services.
  • Establishes and maintains relationships with suppliers, vendors, and clients.
  • Creates schedules to provide appropriate staff coverage based on event requirements.
  • Coordinates and communicates important calendar dates throughout the event planning process.
  • Provides information to increase awareness of the services available to internal and external clients.
  • Represents a College, School, or Program at on and off-campus events.
  • Develops and implements policies and procedures related to event planning.
  • Performs similar or related duties as assigned or required.

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.

  • Manages the daily operational responsibilities of event planning.
  • Establishes and maintains relationships with clients and vendors to plan events.
  • Oversees the upkeep and maintenance of assigned facilities.

  • Minimum Education/Experience

    Bachelor’s degree from an accredited four-year college or university.
    Two (2) years of experience related to the above described duties.
    Substitution Statement:
    Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
