Coordinator of Athletic Camps & Conferences

East Stroudsburg University is hiring a Coordinator of Athletic Camps & Conferences! Located in the beautiful Pocono Mountains of Pennsylvania, ESU’s proximity to New York City and Philadelphia provides convenient access to internships, careers and social activities. Just minutes from campus are the country’s largest water parks, scenic Delaware Water Gap Recreation Area, Appalachian Trail, and other opportunities for recreational fun.
As the Coordinator of Athletic Camps & Conferences, you will need to think creatively and be comfortable scheduling services to ensure the needs of campers/guests and coaches are met. You will be an active member of the Athletics team and will work closely with the Athletic Director to manage the day-to-day operations including facility coordination, workorders, set-up and scheduling Student Conference Assistants. The position is also responsible for the financial aspects of camp/clinic coordination, including budgets, invoicing, payments, tracking, and year end reconciliation. You will thrive in this role if you like combining your scheduling and financial experience while coordinating services for ESU athletics. To be successful in this role, you must be well organized, have professional experience in budget planning/financials, and demonstrate outstanding customer service.
Your normal hours will be Monday through Friday 8:00 am to 4:30 pm. However, schedule changes are often required for athletic camps/clinics held on nights and weekends based on the needs of the business to be a true Coordinator of Athletics Camps & Conferences.  When our team shows up for work, they are energized and motivated to succeed all while being the most crucial piece to keeping the ESU operations humming.
What Will I Do At ESU? (AKA Essential Duties)

  • Coordination, training, and scheduling of all student workers in the athletic camp area, titled Student Conference Assistants (SCAs).
  • Maintain budgets and financial records for all athletic camp/clinic activities. This can include processing documents, tracking expenses, paying bills, updating budgets, auditing of financials, and running reports related to camp financials.
  • Track all documents and requirements related to contractors being hired under a W9 for athletic camps.
  • Input and track all work orders needed for athletic camp/clinics to run successfully.
  • Independently troubleshoot routine athletic camp/clinic issues, such as preparation of facilities, supplies, athletic staffing and any other needs for athletic camps/clinics.
  • Actively provide on-site services including set up and take down for intercollegiate athletic events and any other athletic department-sponsored activities that utilize KFH and fields.
  • Ensure that the facilities, fields, etc. are scheduled in EMS in conjunction with Conference Services.
  • Coordinate with athletics on the need for lighting, scoreboards, video, AV support, etc.
  • Perform additional duties as assigned.

What We're Looking For (AKA Qualifications)

  • Bachelor’s degree in a related field, such as business management, accounting, etc.
  • 2+ years of experience providing customer service to the public, preferably with large groups in a higher education environment.
  • 2+ years of professional work experience tracking budgets, financials, and/or accounting.
  • Ability to adapt to a quick and fast paced work environment, especially when multiple events are occurring simultaneously.
  • Ability to be a team player and provide outstanding customer service, as this position interacts with coaches, external stakeholders, and children attending events.
  • 1+ years of experience planning large scale (more than 50 people) events or conferences.
  • Ability to stay organized and on tasks when working on multiple demanding events.
  • Ability to think independently, make decisions and solve problems.
  • Ability to adapt quickly to event changes, such as more participants than planned or location changes.
  • Experience with Microsoft Office, specifically Excel, Word, and Teams, is a must.
  • Ability to work outdoors at sports camp events for extended periods of time.
  • Able to read, write, and comprehend English; able to follow verbal instructions.
  • Must have phenomenal customer service skill, as well as problem solve on the fly to assist campers, parents, and other guests.
  • Experience with Word, Excel, Teams required.
