General Information
The Coordinator of Alumni Relations is a staff member within the division of University Advancement with full-time responsibilities within the Office of Alumni Relations. Duties are implemented according to the policies and procedures of University Advancement, Constituent Engagement and the Office of Alumni Relations.
The position’s core responsibility is to support alumni event requests and implement student and young alumni programs designed to foster and strengthen the relationship between the university and its alumni. The coordinator also serves as the advisor of the JMU Alumni Association Student Committee and a special focus should be placed on maintaining Madison Traditions and helping students transition into engaged, informed alumni.
Duties and Responsibilities
  • Serve as advisor to the JMUAA Student Committee (JMUAASC). Specifically providing oversight and guidance to the committee on how to recruit new members, steward current members and spread awareness of the JMUAASC on campus.
  • Attend JMUAASC meetings as needed and meet with student members of the exec team on a weekly basis.
  • Develop a comprehensive annual event and communications calendar focused on student and young alumni engagement and aimed at educating students about the importance of philanthropy.
  • Taken the lead on planning and implementing student Madison Traditions events, including the annual first-year fight song t-shirt giveaway, senior candle lighting, 50 Days Till Graduation and other graduate transition events, and events that focus on student philanthropy
  • Build relationships and sustainable partnerships with departments across campus focused on student involvement (Academic and Student Affairs, Career Center, etc.)
  • Provide support for events, including creating registration pages, building emails, managing list requests, creating nametags and other event collateral, etc.
  • Collaborate with other program areas in the Office of Alumni Relations to create meaningful experiences, with a special focus on students and fostering a life-long relationship between Dukes and their alma mater.
  • Utilize the event toolkit to help streamline event requests and manage partner expectations. Become familiar with the office’s current Standard Operating Procedures (SOP’s) for event requests and help develop new SOP’s as need.
  • Work closely with the Assistant Director of Events and Operations for signature and premiere events.
  • Support the maintenance of the master calendar or events and communications for the office.
  • Contribute to the maintenance of event information in Anthology (formerly iModules) and Advance to create reports and ensure events are properly tracked. Provide registration updates as requested.
  • Participate cooperatively in the university’s constituent management and tracking system.
  • Work closely with the departmental fiscal technician to become familiar with university protocol and ensure protocol is followed when setting up contracts and vendor payments. 
  • Provide regular statistical reports on the status of program areas.
  • Maintain ongoing knowledge of campaign and engagement best practices.
  • Maintain ongoing knowledge of student development, communication and engagement best practices.
  • Attend department, unit and division meetings and events as requested.
  • Represent Alumni Relations and the JMU Alumni Association at university, community and professional functions, as requested.
Qualifications
Required:
  • Bachelor’s degree in event planning, non-profit management or related field and/or comparable work experience.
  • Ability to work as a team member in a high-energy and progressive along with proven skills of flexibility and adaptability to change.
  • Possess excellent organizational, written, and interpersonal communication skills
  • Approachable, able to manage multiple tasks and meet deadlines.
  • Ability to initiate projects and work independently
  • Demonstrated ability to successfully manage multiple projects simultaneously and execute small and large events.
  • Computer proficiency – at minimum Microsoft Office
  • Flexible work schedule with some weekend travel and evening hours required.

Preferred:
  • Knowledge of best practice related to student development models and/or fundraising and philanthropy experience.
  • Experience using project management systems such as Basecamp and/or Slack
  • Ability to carry 50 pounds
  • License to operate a motor vehicle

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus. 
 
The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
