Job Summary

The Department of Epidemiology, at the Harvard T.H. Chan School of Public Health, studies the frequency, distribution, and determinants of disease in humans, a fundamental science of public health. In addition to pursuing ground-breaking global research initiatives, we educate and prepare future medical leaders and practitioners as part of our mission to ignite positive changes in the quality of health across the world.

The Program in Genetic Epidemiology and Statistical Genetics (PGSG) focuses on the genetic dissection of complex human diseases. The Program gives special emphasis to deciphering the molecular mechanisms underlying cancer to improve our capacities for cancer diagnosis, prognosis and treatment, as well as prevention. We also conduct research on other chronic diseases and on new methods in statistical genetics in collaboration with colleagues at the School of Public Health, Harvard Medical School, The Broad Institute, and elsewhere. Our innovative research group is comprised of Harvard faculty, research fellows, doctoral students, biostatisticians, and research assistants. 

The Program Coordinator will be an integral member of our team and make important contributions to a variety of research and operational activities. We are looking for a proactive individual seeking a progressive and stimulating research environment. The Program Coordinator will be mainly responsible for integrating and coordinating the research and teaching activities of four faculty members. This position requires multi-tasking, providing accurate and timely results with attention to detail, and prioritizing and managing competing deadlines. The Program Coordinator may be engaged with the department's administrative team to support departmental projects as needed as well.


Job-Specific Responsibilities

Duties and responsibilities include, but are not limited to, the following:

  • Provide overall research, administrative, and operational support to PGSG faculty and researchers
  • Identify obstacles to programmatic success in a timely fashion, implement problem-solving actions as needed
  • Perform calendar management and complex scheduling for multiple faculty members via Google Suite & Outlook
  • Coordinate research team meetings, create meeting agendas, take meeting minutes, and follow up on action items
  • Manage IRB (Institutional Review Board), DUA (Data User Agreement), and DAT (Data Safety Submission) for the program. Prepare applications, track submissions, make amendments, and ensure project compliance
  • Coordinate progress reports and ethical approvals by compiling data and resources needed for grant applications and maintenance
  • Provide dataset maintenance for various systems to ensure compliance, make amendments to the platform and associated ESTR submissions
  • Document and update project work plans, track progress, and ensure timelines are met
  • Draft, prepare, and proofread program documents, including progress reports, technical reports, grant related material, support letters, manuscripts, etc.
  • Provide publication support, including proofreading, formatting, entering references, and submitting papers to academic journals
  • Prepare and process financial/expense reports, reimbursements, invoices, and other payments
  • Maintain CVs and biosketches
  • Draft and edit correspondences, letters, and documents
  • Prepare and edit presentation materials using PowerPoint
  • Purchase/order office and research supplies, maintain inventory, and troubleshoot equipment
  • Coordinate travel arrangements for program PIs, lab members, and visitors
  • Website content management, including making updates, designing new pages, and curating content based on recent publications and research updates
  • Plan and coordinate meetings, seminars, conferences, consortiums, retreats, and other special events. This includes securing event location, coordinating presenters/speakers, arranging catering orders, ensuring appropriate AV/IT set up, prepare programs, advertising events, and providing on/off-site support
  • Assist with onboarding and offboarding of program trainees and students. Develop and maintain PGSG program and lab-specific onboarding guides
  • Performs other related duties as assigned
PLEASE NOTE: This position has a term appointment of January 31, 2022 with the possibility of extension based on continued funding availability.

PLEASE NOTE: The primary work location for this position is Boston, MA and in order to be on Harvard payroll, you must reside in one of the following states – MA, NH, RI, ME, CT, VT, NY, or MD. We are also working primarily remotely at this time due to the COVID-19 pandemic. Until our return to campus, which is anticipated to begin in fall 2021, this interview process and position will be conducted virtually – including virtual interviews, remote onboarding, and remote work. The remote nature of this position is only temporary. Local, on-campus work will be required as a condition of continued employment once the School and this role return to an operational status that supports it. The Harvard T.H. Chan School of Public Health will support flexible work schedules upon this return, subject to individual departments’ business needs.


Basic Qualifications

  • 3+ years of related experience required; a combination of education and experience may be considered

Additional Qualifications and Skills

The following job-specific skills and competencies are preferred:

  • Bachelor's Degree
  • Experience working in and/or interest working in research, medical, or public health setting
  • Experience and comfortability with using multiple computer systems & especially Microsoft Office Suite; experience with systems such as Adobe, Concur, Buy2Pay, WordPress
  • Experience working with and/or understanding of the IRB (Institutional Review Board) process and ESTR system a strong plus
  • Experience working with EndNote a plus
  • Excellent written, verbal, and interpersonal communication skills
  • Highly organized with a strong attention to detail and accuracy
  • Experience organizing work in support of others, defining priorities, taking initiative, and meeting deadlines
  • Experience working independently under minimal supervision and as part of a team preferred
