Position Overview

Jayhawk Academic Advising (JAA) is a unit within Academic Success, a division of Academic Affairs.  JAA provides comprehensive academic advising services for new and currently enrolled students, inquiry to applicant and current student coaching, and serves all undergraduate majors and some graduate programs across the University. JAA is staffed by professional advisors, support staff, and graduate assistants. JAA maintains a highly student-centered focus, and demonstrates commitment to continuous quality improvement and resilience for a dynamic and changing work environment.

The Coordinator for Jayhawk Academic Advising Training and Development assists the JAA Associate Director for Training and Development in implementing and executing effective training programming that results in consistent and standardized advising approaches and ensures the overall quality expectations, deliverables and milestones of the team are met. The Coordinator reports directly to the Associate Director for Advising Training and Development.

Job Description

70% Training Development and Delivery

  • Assist in the organization, coordination, maintenance, and execution of a robust and comprehensive academic advisor onboarding and ongoing training program. 
  • Liaise with content experts to ensure training is delivered multiple times per year as needed by Jayhawk Academic Advising.
  • Maintain and deliver diversity, equity, inclusion and belonging in academic advising training modules utilizing best practices within NACADA, NASPA, or other professional organizations. 
  • Consult with the associate director to assess gaps in advisor knowledge or advising content understanding and provide training and/or desk-side coaching as needed to address gaps. 
  • Deliver ongoing professional development for advisors and related personnel.
  • Maintain a system to manage new advisor access to required tools and systems. 
  • Assist in processes and trainings to support any standardized advisor expectations.
  • Assist the associate director to capture, analyze, interpret, and respond to daily, monthly, and semester metrics on advising training activities and needs. 
10% - Advising Caseload Coverage/Supervision Coverage
  • In the event of advising vacancies, provide gap coverage of assigned advising caseloads to minimize disruption to students and the JAA team.  This position may have an advising caseload of 15% or less of a standard advising load at the discretion of the associate director.
  • Complies with all student records and enrollment confidentiality and compliance requirements including but not limited to: FERPA, Financial Aid, university policies, etc.
10% - Advisor Recognition
  • Coordinate advisor recognition and award processes for campus, regional and national consideration. 
  • Conduct informal advisor recognition and collaborate with the management team to showcase excellent advising work. 
10% - Other Duties as Assigned
  • Represent JAA on committees, workgroups, and in meetings as needed or assigned by the Director.  
  • Participate in relevant professional development.
  • Other duties as assigned by the Associate Director or Director of JAA.  

Required Qualifications

  • Master's degree OR Bachelor’s degree and three years of experience working directly with students in higher education
  • Experience utilizing enterprise level technology systems for academic advising or student support.
  • One year of experience requiring the understanding of developmental and proactive advising practices or closely related fields.
  • Excellent communication and organizational skills as evidenced by application materials.

  • Preferred Qualifications

  • Master’s degree in higher education, counseling, or related field 
  • Experience delivering training or educational programming.
  • Experience as an academic advisor.
  • Experience working with diverse populations in a higher education setting.
  • Experience with the PeopleSoft Student Records (SR) Module or other student information systems.
  • Experience coordinating multi-week programming across multiple units and locations.

    Work Schedule

    The work schedule for this position will coincide with department needs and traffic. Office hours vary based on location, training season, and staffing needs. Advising services at KU are offered from 8am – 6pm Mon-Friday. Some evening and weekend hours may be required with reasonable advanced notice. Hybrid work arrangements are available seasonally.
