Coordinator, Development and Alumnae Relations

Job Summary:

The Coordinator, Development and Alumnae Relations reports to the Executive Assistant to the Senior Vice President and provides executive-level and confidential administrative support, including prospect management and event support to the Senior Vice President for Development and Alumnae Relations (SVP DevAR).

Job Description:

 GENERAL

1. Manage the SVP DevAR’s calendar with the need to coordinate with the President’s office and provide phone coverage for the Senior Vice President’s line. 

2. Provide executive-level, confidential  support to the SVP DevAR  including working with the Executive Assistant to support the needs and demands of the office.Serves as back up to perform all Executive Assistant duties in their absence. Coordinate with the Executive Assistant to the Senior Vice President, the Executive Assistant to the Associate Vice President, Special Events, and Alumnae Relations as needed to support alumnae event management and engagement. Coordinate and manage the scheduling of prospects and other meetings, including communicating with the President’s office, tracking follow-up, and scheduling any follow-up meetings.

3. Working with the Executive Assistant to the Senior Vice President and the President’s office, support Senior Vice President travel and special events planning and logistics with the need to occasionally staff select special events. This includes providing support during evenings and weekends for events and for responding to unanticipated travel needs, as needed.

4.Working with the Development Operations team and Business Analytics team, ensure prompt and accurate booking and processing for all gifts sent to the Senior Vice President’s attention.

BOARD OF TRUSTEES

1. In coordination with the Executive Assistant, create, maintain, and assemble materials for Development Committee meetings.  

2. In coordination with the Executive Assistant, create, maintain, and assemble materials for Nominating Committee and joint Governance and Nominating Committee meetings.

3. Work with the Executive Assistant to create, maintain, and assemble materials for the Senior Vice President to disseminate to the Board of Trustees.

FINANCE

1. Manage the coordination of timely invoice processing, purchase orders, check requests, and travel expense requests; ensuring that all are saved according to departmental protocol.

2. Process budget transfers as needed and as directed.

SPECIAL EVENTS

1. Working in coordination with the Executive Assistant for the Senior Vice President, and the Executive Assistant to the Associate Vice President, manage the tracking of event attendance for all small cultivation/donor events in the database.

Other related duties, including special projects, as assigned. 

Skills, Qualifications & Requirements:

KNOWLEDGE, SKILLS & ABILITIES:

  • Excellent computer skills:  Expertise in Microsoft Office and Google Suite necessary

  • Experience with fundraising database platforms preferred

  • Excellent organizational, time management, communication (both verbal and written), and interpersonal skills, and knowledge of basic office management techniques, i.e. workflow, filing systems, scheduling, etc.

  • Meticulous attention to accuracy and detail in all matters, including strong proofreading and editing skills

  • Ability to work independently, and in partnership with others with dedication of providing high-quality customer service to a variety of personalities.

  • Ability to take initiative working with discretion and accuracy. 

  • Ability to work with changing priorities and multiple tasks, meet deadlines and work well under pressure in a fast-paced environment.

  • Ability to professionally interact with Trustees, executives, high-level donors, and colleagues across the College.

  • Excellent discretion and proven ability to maintain the confidentiality of records and other information

QUALIFICATIONS: 

  • Baccalaureate degree

  • 2-3 years of experience as a confidential assistant with a preference for experience supporting a senior executive. Experience in an academic setting preferred. 

ADDITIONAL INFORMATION::

  •  This is a hybrid role that requires a regular presence in the office as needed to support the Senior Vice President’s work in the office, and for team and full staff meetings, and other times as directed by the Senior Vice President. When an in-office presence is not required, the incumbent will be expected to work remotely during standard business hours. 

  • Flexibility required to work occasional nights and weekends.

  • Eagerness to learn about Development and Constituent engagement. This role gives an opportunity for the individual to learn about all of the workings of and opportunities in a development and  alumnae engagement office.

Salary: $62,000 - $67,000

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
