Position Summary/Purpose of Position:
The Coordinator, Business Operations is responsible for coordinating and managing the essential daily operational and payroll needs for the Graduate School (GS). These duties encompass payroll, procurement, travel, reconciliation of accounts, operational and administrative support for GS events, and coordination of transfers for GS travel programs.
Primary responsibilities:
  • Reconcile GS accounts monthly ensuring accurate documentation and adherence to university and state policies and procedures.
  • Manage and process payroll/personnel/eTerp transactions. Responsible for initiation and follow-through of transactions; on-boarding and off-boarding of GS employees; serving as point-of-contact for payroll/personnel issues and as Human Resources Service Representative liaison with UHR.
  • Review vendor agreements ensuring adherence to university policy, manage payment of vendor invoices, process purchase orders, reconcile purchase card(s) and order office supplies.
  • Serve as point-of-contact for travel matters for the GS coordinating with staff on travel and working with Assistant to the Dean on travel for the deans. Reconcile travel cards and assist staff with documentation and navigation in Concur.
  • Coordinate bookings for events, order food/supplies, monitor event attendance, and provide administrative support (e.g. registrations, minutes) as needed for large-scale campus-wide GS events and serve on the Graduate Student Services Team (GSST) providing event planning and management support (organizational and administrative) under direction of the Assistant Director ensuring smooth event operations.
  • Independently manage funding transfers for GS Travel Programs (Goldhaber, ICSSA, IGRF) ensuring proper documentation and respond to department/recipient questions.
  • Process reimbursements from foundation accounts related to operational needs, under supervision of the Assistant Director.
  • Serve as GS Parking Coordinator, work with Assistant to the Dean on building security, keys and facilities matters.

Minimum Qualifications:
Education:
Bachelor’s degree from an accredited college or university; or an equivalent combination of education and experience.
Experience:
At least 4 years of experience performing a combination of business operations (payroll, accounting, travel, purchasing, and/or human resource functions), preferably in an institution of higher education.
Knowledge, Skills, & Abilities:
  • Excellent customer service and communication skills (both oral and written) and ability to work independently as well as on a team, with diverse populations, including faculty, staff, students, other university offices, and external organizations.
  • Proficient in Microsoft Office Applications (Excel, Word, PowerPoint).
  • Demonstrated attention to detail with ability to handle many complex tasks simultaneously, meet deadlines, and execute multiple assignments with overlapping deadlines.

  • Preference may be given to applicants with demonstrated experience working with UMCP’s accounting, procurement, travel, and human resources policies and procedures.
  • Experience in event management a plus.
  • Preference may be given to applicants with demonstrated experience working with systems such KFS, BPM, PHR, Concur, Workday, KR, SAS, SIS, ShellShop, etc.
  • Experience with USM and UMCP Foundations.

This position is generally sedentary in nature. Must be able to move about campus to attend meetings; must be able to respond to unit questions in a timely fashion, particularly during peak times. Substantial movements (motions) of the wrists, hands, and/or fingers. Close visual acuity is required to perform activities such as preparing and analyzing data and figures; typing and viewing a computer screen; and extensive reading. Must have ability to speak as well as communicate in writing clearly.
