Job Description

The College of Global Futures is seeking a service-oriented office coordinator to help support the student services center and reception desk located on the fourth floor of the Walton Center for Planetary Health on the Tempe campus.

Essential Duties

Administrative Support

  • Monitors, assigns, and responds to cases in Salesforce.
  • Assists with communication of information to students through various communication channels.
  • Pulls and assembles student reports.
  • Coordinates mailings, call campaigns, data entry, and maintenance of spreadsheets.
  • Coordinates access to Dropbox folders, Google Team Drives and Slack workspace for the college.
  • Supports office staff with purchases, expense paperwork, and provides expense tracking support.
  • Supports course scheduling for CGF prefix courses.

Front Office Support and Coordination

  • Coordinates 4-6 student worker/learner schedules in support of coverage needed for the reception desk and special projects.
  • Coordinates with other reception desk leads in the Walton Center for Planetary Health.
  • Greets, assists, and directs faculty, staff, students and visitors.
  • Answers phones, responds to emails, makes photocopies, routes paperwork, schedules appointments and meetings, schedules conference rooms, schedules events in classrooms, and provides technical assistance with media in nearby conference rooms.
  • Coordinates the ordering of supplies, maintains front office procedures, and is responsible for upkeep of a professional, clean and orderly work environment.
  • Coordinates tasks that need to be performed on a regular basis to support student services and front desk reception for the floor.
  • Maintains updated process guides and information.
  • Drives the golf cart on campus to support unit needs.

Supervision of Student Workers/Learners

  • Hires, trains, evaluates, schedules, and supervises student workers/learners.
  • As a supervisor in the Work+ model, you expand your role to serve as a mentor to working learners, to better support their professional and personal goals, and prepare them for their entry into the workforce after graduation. 

Other duties as assigned.


Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

Experience in:

  • Working in a fast-paced environment and providing timely and quality customer services by phone, email, and in-person.
  • Working in a team environment as well as independently with little supervision.
  • Utilizing Microsoft Office applications (especially Outlook, Word, and Excel).
  • Utilizing applications such as PeopleSoft, WorkDay, ASU Analytics Reports, Salesforce, and Google Docs.
  • Supervising and coordinating activities of others.

Demonstrated knowledge of:

  • Effective customer service practices.
  • Leadership and supervisory practices.
  • ASU policies, procedures, and resources.

Evidence of:

  • Effective verbal and written communication skills.
  • Organization skills and the ability to multitask and adapt to changing priorities.

  • Climate-controlled office setting subject to extended periods of sitting.
