GENERAL SUMMARY OF POSITION:

Under the direction of the Director or designee, the Education Coordinator is responsible for independently organizing, and coordinating activities relative to student placement with preceptors, clerkships, residency programs, and assisting faculty with UMass Chan Medical School courses. The Education Coordinator will act as a resource to students, faculty, residents, community faculty, sites and school administration in matters or questions relating to the department’s medical school courses and activities.

 



MAJOR RESPONSIBILITIES:

  • Coordinate day to day administrative activities related to the major courses, clinical placement/clerkships placements and as they relate to students, in-house faculty, and community preceptors
  • Match student and preceptors based on requirements and individual preference; interview medical students
  • Develop a complex schedule involving the placement of appropriate students with preceptors, sub-internships, outpatient rotations, etc.
  • Serve as initial contact to Department’s network of community-based preceptors to problem solve issues related to scheduling, student evaluation, educational support needs, and relationship of community faculty to the program
  • Participate in the development of clinical site placements and adjustments to schedules
  • Assist with recruitment of new community faculty for rotations
  • Participate in the design, development, revision planning, implementation, review progress, and evaluate outcomes of the course of curriculum and course materials in collaboration with the course Directors and team of faculty
  • Organize core curriculum and exam schedules under the direction of the course directors. This includes orientation, intra-clerkship, exam schedules, as well as core lecture series for inpatient and outpatient rotations.
  • Organize video testing program, including coordination of faculty, standardized patients, rooms, equipment and technicians
  • Assist faculty with the development of curriculum materials and student resources
  • Participate in grading sessions. Prepare student grades.  May proctor exams. Maintain accurate and complete records for student grades and evaluations in the proprietary software. Ensure completion, prepare outcomes, and notify the course Directors and team of faculty in the event of inconsistencies or negative outcomes
  • Project costs and develop budgets for various programs. Monitor budget and expenses
  • Provide content for and maintain related websites
  • Provide assistance and direction to students interested in the department’s field of study. Provide referrals for possible advisors. 
  • Maintain databases to track faculty teaching efforts, organize data, and generate reports
  • Prepare and process contracts, purchasing paperwork, and reconcile these expenses with budget reports
  • Arrange functions, reserve rooms, and make travel arrangements
  • Perform other duties as required.


REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in business administration, a related field, or equivalent experience
  • 2 years of administrative experience, including complex scheduling, budgeting, preferably in an academic setting.
  • Proficiency in Microsoft applications, data analysis and report generation
  • Demonstrated ability to independently manage and coordinate multi-faceted, multi-day programs and projects
  • Strong interpersonal and communication (verbal and written) skills
  • Demonstrated abilities in budgeting.
