Position Summary

The Department of Chemistry and Chemical Biology is seeking a motivated professional to work in the Administrative Office. The ideal candidate would be a personable self-starter who enjoys working with a diverse population including faculty and students. In addition they would be well organized and have experience with MS Office software, especially Word, Outlook, and Excel.

Typical duties for this role include:

  • Serves as a principal liaison between students and/or faculty, staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative issues. Resolves administrative problems, as appropriate, and/or refers problems to key faculty or staff for resolution.
  • Monitors, reconciles, and assists with fiscal administration for the unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing; may assist with fiscal planning, including participating in seeking alternate sources of funding. Must be able to have a PCard.
  • Collects and analyzes data; prepares scheduled and special reports and statistical information; maintains records and documentation, coordinates information required for departmental operations.
  • Coordinates and/or facilitates seminars, special events, meetings, special projects, faculty/staff searches, and evaluates the success of these events. This includes booking travel arrangements and completing reimbursements.
  • Performs or delegates clerical and administrative support tasks, including creating and editing correspondence, academic course scheduling and/or catalog edits, web pages, purchasing documents, reports, program handbooks, and other related publications.
  • Supervises and trains support staff, student employees, volunteers, and/or interns, as appropriate. Coordinates the activities of support staff, consultants, faculty, and/or volunteers engaged in implementation and administration of Department objectives.
  • Performs miscellaneous job-related duties as assigned.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Minimum one (1) year experience in leadership/supervisory capacity
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community. Ability to interact with students, faculty and/or staff in a team environment.
  • Knowledge of accounting procedures involving procurement, travel, contract and grant processes, and/or employment.
  • Ability to create, compose, and edit written materials. Ability to communicate effectively, both orally and in writing.
  • Ability to coordinate and organize meetings and/or special events.
  • Ability to make administrative/procedural decisions and judgments on sensitive confidential issues.
  • Analytical, evaluative, and critical thinking skills.
