About the Department
The Wilson College of Textiles is recognized as a worldwide leader in textile education and research and produces more than half of the textile graduates in the United States each year. The areas of study at the Wilson College include fundamental science, process and product engineering and textile product research in the following disciplines: nonwovens, medical textiles, protective clothing, nanotextiles, smart textiles, composites, transportation textiles, fibers, polymer science, color science and chemistry, fashion design, and textile design. The college also places emphasis on management research in branding, marketing, supply chain, and retail and merchandising.
The Wilson College is comprised of two academic departments: The Department of Textile and Apparel, Technology and Management and the Department of Textile Engineering, Chemistry and Science. Furthermore, The Wilson College has the oldest distance education program on campus.
For Fiscal Year 2023, research expenditures totaled approximately $6M. Research awards totaled nearly $11M. A total of 97 proposals were submitted totaling approximately $23.1M.
Essential Job Duties
The Contracts and Grants Specialist for College Research Administration is responsible for the maintenance, oversight, and reporting of financial accounting data and will be a specialist in the area of contracts/grants.
As the Contracts and Grants Specialist you will manage various research-related Contracts and Grants transactions, requiring significant financial knowledge. In this role you are responsible for maintaining contracts and grants accounting records, analyzing data for accuracy, problem-solving, and interpreting regulations. Additionally you will ensure completeness, accuracy, and compliance with accounting standards and regulations, and assist with Post-Award activities.
Key Responsibilities include but are not limited to:
  • Maintain contracts and grants accounting records and analyze data for accuracy and compliance.
  • Manage research-related Contracts and Grants transactions with financial knowledge.
  • Monitor financial accounts for completeness, accuracy, and compliance with regulations.
  • Reconcile data and ensure accuracy of entries.
  • Assist with Post-Award activities and initiate project modification requests.
  • Draft financial and budget reports for stakeholders.
  • Create presentations to provide updates on Post-Award processes and procedures.
  • E-file associated documentation and integrate new documents into existing files.
  • Maintain University Contracts & Grants Office file destroy list for purging.
  • Set up new sponsored projects and maintain electronic files for each award.
  • Respond to requests for budget projections, account balances, and expenditure details.
  • Process forms for academic salary release, summer salary actions, and salary distribution changes.
  • Prepare financial reports for sponsors, PIs, and upper-level College Administrators.

Qualifications


Minimum Experience/Education
High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Other Required Qualifications
  • Strong understanding of Cost-Accounting Standards, Federal Circulars, and Uniform Guidance.
  • Familiarity with budgeting and accounting practices and procedures.
  • Experience managing and reconciling sponsored project accounts
  • Excellent communication skills, both verbal and written.
  • Strong organization and time management skills.
  • Ability to stay focused and self-manage when necessary.
  • Capability to work collaboratively in a team and independently.
  • Proficiency in using MS Word and Excel.

  • Experience working with Contracts and Grants
  • Knowledge of the following systems or similar grant management programs:
    • PeopleSoft HR system
    • Labor Reports
    • Payroll Distributions Reports
    • Wolfpack Reporting System (WRS)
    • Project Modification Request (PMR)
    • Project Information Navigation System (PINS)
    • Research Administration Data and Reports (RADAR)
    • The Employee Activity Reporting System (TEARS)
