Job Description Summary:
The Office of Continuing Education/Professional Development serves the health care community through the development and delivery of high-quality learning opportunities.
This position assists with the coordination and staffing of continuing education programs for healthcare professionals. Primarily assists program managers with the logistical aspects of continuing education programs and speaker arrangements, such as speaker travel and speaker documents. May also staff programs with the program manager when needed to provide optimal program support. Assists with venue logistics including audiovisual and room set up arrangements.
Position Details
The position is 8:00 – 4:30 Monday through Friday. Depending on programming schedules, evening and weekend work will be required. Most of the time, we are aware of deviations in “normal” schedules well in advance. However sometimes, because of illness, etc., changes do happen at the last minute.
Some travel is required including overnight stays and out of state travel which may require flying on commercial airlines. Costs of overnight travel (motels, meals, taxi, etc.) are reimbursed to the employee after the travel. You will also need to provide your own ground transportation unless traveling a distance. The anticipated hiring range for this position is $54,000 to $56,000 annually.

Job Description:
Required Qualifications:
  • Education: Bachelor’s degree in education, health care, business administration, or related field.  A combination of education and related work experience may be substituted for the degree on a year-for-year basis.

  • Work Experience: Experience assisting in the coordination of detailed projects/events and scheduling logistical arrangements within specified time frames. Must have computer experience, specifically Microsoft Office applications.

  • Experience with adult education programs or continuing education programs is a plus. 

  • Experience with travel arrangements and logistics is a plus.

  • Demonstrated communication and interpersonal relationship skills.

  • Experience assisting in the coordination of detailed projects/events and scheduling logistical arrangements within specified time frames.

  • Demonstrate excellent organizational, oral and written communication skills, and ability to handle multiple tasks simultaneously. 

  • Demonstrated ability to communicate well with people at all levels of the organization.


Job Duties Outlined:
  • Assist the program manager in the logistical details and speaker arrangements for continuing education programs which meet accreditation requirements.  These duties include speaker travel and hotel reservations, and speaker documents. Demonstrates an ability to learn and apply accreditation requirements and concepts to assigned duties. 

  • Attend programs, when necessary, and assist program manager with registration, instructions, and other assistance as needed.  

  • Assist program manager with event venue arrangements, particularly audiovisual needs, facility setup and event meals and refreshments. 

  • Prepare essential program materials including name badges, sign in sheets, certificates, verification forms, evaluations, syllabus, and other course materials.

  • Assist program manager and financial staff in the preparation of the final program budget as it pertains to speaker travel and hotel accommodations, venue, meals, and other logistics described above.  The continuing education coordinator will update budget documents as needed with estimated and actual expenses and revenues.  Prepares information for financial staff to process payments.

  • Assist program manager with delivery and dissemination of printed and/or digital marketing communications.  

  • Other duties as assigned.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
