Description

The Semel Institute is seeking to hire a full time Continuing Education Coordinator to support the ISAP Training Department with all CME related activity. In this role you time would be split between Continuing Education Coordination activities and Research Dissemination and Technology Transfer Support. Below is a list of some of the task you may be responsible for in this role: * Development and coordination of a standard set of procedures to maintain compliance with the requirements related to the provision of continuing medical education (CME) and continuing education (CE) credit for all educational events provided across the ISAP Training Center. * Review of marketing materials for all events to ensure they include the information required by the various CME/CE boards. * Management of the preparation and submission of all initial provider applications, annual progress reports, and other related documentation, as requested by the various national and state-level continuing education boards. * Oversight of the collection and submission of post-event participant data into the California Medical Association Accreditation Council for Continuing Medical Education (ACCME) Program and Activity Reporting System (PARS). * Oversight of the development of post-event CME/CE summary reports. * Serve as liaison between the ISAP Training Department and CME/CE boards. * Provide CME/CE orientation and training to all newly hired Training Department staff, including Training Coordinators and Training * Management of the preparation and submission of appropriate administrative and project specific IRB/human subject applications to the Office for the Protection of Research Subjects. * Development of content for new research dissemination and technology transfer materials based on peer-reviewed literature including charts, tables, and graphics. * Oversight of the dissemination of the latest empirically supported/research-based substance abuse treatment strategies via electronic and print media. * Oversight and coordination of specific research dissemination and technology transfer projects, overseeing development of content and agendas and recruitment of participants. * Serve as liaison between the ISAP Training Department and prospective conference/meeting participants to ensure that confirmations are appropriately communicated. Oversee the participant recruitment and registration confirmation process, including developing and confirming registration list, generating reports, preparing materials as required. * Preparation of UCLA- and federal government grantee-specific forms for the ISAP Training Department and distribute to the appropriate departments. Manage and assure appropriateness of all travel and entertainment reimbursements for Training Department staff. * Management of all GPRA pre- and post-event participant evaluation activities, including collection of evaluation instruments, analysis of GPRA evaluation data, and write event summary reports that detail participant demographics, event satisfaction, and utility of the research-based information presented at various conferences, meetings, and educational events. * Management of logistical functions for research dissemination, technical assistance, and other educational events, including venue scouting, contract negotiations, and onsite logistics. * Oversight of research meeting and conference participant recruitment materials. * Responsible for reports, reconcile financials, track registration, process refunds, and respond to inquiries regarding online credit card purchases (through CashNET). * Maintenance of research dissemination activity participant records and all relevant databases, including evaluation forms, pre- and post-tests, continuing education documentation, certificates of completion, etc. * Oversight of on-site logistics. * Preparation of all grant- and University-required documents, coordinate the letter of support process, and coordinate the compilation and submission of state and federal grants and contracts, by mail or online submission. * Other duties as assigned. Pay Range: $26.48 – $53.40 hourly



  • JOB QUALIFICATIONS

Qualifications

1. Bachelor’s Degree or equivalent in a social science field. 2. Experience working in a substance use disorder-related research environment. PREFERRED 3. Experience collecting and interpreting empirically validated and research-based substance use disorder treatment information to be useful to substance abuse treatment practitioners in an educational/training setting. REQUIRED 4. Knowledge of continuing education (CE) requirements for professional attendees at conferences, e.g., Psychologists, Nurses, Therapists and Social Workers, Counselors, etc. REQUIRED 5. Ability to track projects according to multiple dimensions and factors to produce error-free and comprehensive reports. REQUIRED 6. Experience conducting library searches to identify recent research-based publications and other resources. REQUIRED 7. Skill in using the University’s CashNET system to accept credit card transactions. Skill in preparing reports, addressing issues resulting from denied and/or challenged credit card activity. PREFERRED 8. Ability to communicate clearly and effectively, verbally, and in writing, with research dissemination and technology transfer participants, representatives of funding agencies, faculty, staff, and supervisors. REQUIRED 9. Skill in speaking clearly and distinctly, using discretion and sensitivity, as well as appropriate grammar to obtain and convey information to and from the public and to staff. REQUIRED 10. Ability to establish and maintain cooperative working relationships with staff members. REQUIRED 11. Ability to operate advanced computers with speed and demonstrated accuracy. REQUIRED 12. Demonstrated knowledge of Microsoft Office and other required software. REQUIRED 13. Expertise in the use of PowerPoint including creation and formatting of slides as well as incorporation of audio and visual media and animation effects. REQUIRED 14. Organizational skills to maintain training participant records and coordinate other tasks, as required. REQUIRED 15. Skill in performing with frequent interruptions, as a part of a team, and the ability to respond to changing priorities and deadlines. REQUIRED 16. Ability to proofread work before submitting as final. REQUIRED 17. Ability to work with little supervision and to problem solve as appropriate, and possess the ability to think logically in high demand situations. REQUIRED 18. Willingness to work occasional weekend and evening hours. REQUIRED 19. Willingness to travel to conferences and training events throughout the United States, and internationally. REQUIRED 20. Skill in approving and processing online travel vouchers and other reimbursements. REQUIRED
