Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Job Description Summary
At Chapman University, we strive to be good neighbors in all that we do. Our Community Relations team is seeking a friendly, service-oriented Community Relations Coordinator who will assist with strategic outreach and engagement activities within the communities that surround the University’s campuses. The Community Relations Coordinator will organize internal and external events, assist with marketing and communications initiatives, and help support positive town-gown relations. Additionally, the Coordinator provides administrative and operational support to the Vice President and department, which includes responding to a wide variety of requests; drafting, editing, and preparing final versions of correspondence; processing financial documents and allocation reports; and performing research and executing special projects as assigned.
Responsibilities
Events, Marketing and Communications
  • Collaborate with Strategic Marketing and Communications on content, design, and production for snail mail, digital, and social platforms. Ensure that specifications and deadlines are met.
  • Manage and update department website, produce and disseminate newsletters & e-newsletters, oversee social media accounts.
  • Collaborate with Event Operations on event ticketing, manage events in campuswide software (25Live). Oversee logistics for various meetings, working with catering/event staff as needed.
  • Represent Community Relations at internal and external meetings and events.

Specialized Administrative Support
  • Provide support to the Vice President of Community Relations, such as meeting coordination, carrying out of special projects, and preparing meeting agendas and presentation materials.
  • Participate on teams working on entitlement projects; assist Vice President with tracking city/local government relations activities.
  • Serve as recording secretary and organizer for the Neighborhood Advisory Committee.
  • Manage multiple priority activities that require coordination with senior leadership, community members and community organizations.
  • Work closely with other departments, such as the Offices of the President and EVP/COO, Campus Planning and Design, Facilities Management, and Public Safety.

Day-to-Day Operations
  • Perform budget transfers, submit purchase orders and non-PO requests, and allocate P-Card reports. Utilize software to track expenditures (PeopleSoft).
  • Review, analyze, and provide budget recommendations to Community Relations Manager on purchasing and expenses.
  • Manage, track, and complete weekly reports.
  • Process Independent Consultant Agreements and serve as Legal Affairs point of contact for contracts.
  • Submit work orders for Facilities and IS&T as needed.
  • Stock, order, and maintain supplies, printed materials, and office necessities.
  • Oversee hiring and supervision of student employees.

Required Qualifications
  • Bachelor’s degree or equivalent combination of education and experience.
  • At least two years of relevant experience.
  • Skilled in project management. Must have experience with organizing complex tasks and working on multiple projects simultaneously, under conditions of pressure and competing interests.
  • Strong oral, written, and culturally competent communication skills including excellent use of grammar and proven ability to prepare, edit, and proofread documents.
  • Ability to learn, retain and utilize technology, including Microsoft 365 and Google Suite.
  • Excellent customer service including the ability to foster effective relationships and work with a diverse group of individuals from within and outside the university community.
  • Ability to exercise initiative and good judgment and to work with reasonable independence.
  • Ability to maintain a high level of confidentiality and to consistently conduct oneself in a tactful and diplomatic manner.
  • Experience in coordinating and executing logistics for meetings and events.
  • Marketing savvy, with a general understanding of social media management.
  • Basic accounting skills and ability to monitor budget and expenses.

  • Knowledge of Orange County government, particularly the cities of Orange, Irvine, and Anaheim.
