Description of Work Unit
The Department of Clinical Sciences mission is to assure the health and productivity of animals to meet societal needs through high-quality educational programs for professional veterinary medical students, graduate veterinarians, and the public through a faculty and veterinary medical center of excellence, and to advance and disseminate comparative biomedical knowledge in an environment of interdisciplinary collaboration.
Position Summary
This Part-time, 50% FTE position provides administrative, planning, and organizational support to program faculty in offering of 9 communication courses and 4-6 veterinary communication continuing education workshops per year. These are team taught courses and the coordinator plays an integral role in facilitating dedicated instructors, communication coaches, and simulated clients. This is an integral role to providing high quality education to veterinary students and professional development for veterinarians. This is a chance to work in an innovative program, with leaders in the field, dedicated to excellence in experiential education. Required Job Qualifications
  • Bachelor’s degree

AND
  • 2 years’ experience in Conference planning/coordination, continuing education, business, or communications

OR
  • Associates degree

AND
  • 2 years’ experience in program management/coordination, event or conference planning/coordination, continuing education, business, communication

PLUS
  • Demonstrated competence in office management, program administration, and event planning
  • Excellent communication, interpersonal skills, and customer service
  • Attention to detail in project management
  • Exemplary organizational and time management skills
  • Ability to make decisions and to work independently as well as work as a member of a team and within an established framework
  • Strong writing and editing skills
  • Proficiency in Outlook, Word, Excel, and Power Point, Zoom, Microsoft Teams, and ability to learn other software quickly (e.g. Canvas, Wordpress)
  • Creativity and problem solving

Job Duty Category Teaching Support – Communication Coursework
Duty/Responsibility
  • Facilitate scheduling and planning for 9 communication courses.
  • Serve as host for all participating in the coursework – classroom instructors, coaches, simulated clients, and veterinary students 
  • Create process or task lists to guide preparation of each course 
  •  Clarify roles and responsibilities of each team member 
  • Recruit and schedule key players including coaches and simulated clients 
  • Schedule classrooms, debriefing rooms, and examination rooms for courses and preparatory training events. 
  • Oversee communication laboratories 
  • Prepare coach and simulated client training materials 
  •  Arrange hospitality for communication laboratories and coach training sessions 
  • Create training agendas and case rotation schedules for laboratories and trainings ·         Prepare all course and laboratory teaching packets and materials 
  • Send weekly reminders to students regarding course expectations 
  •  Set-up course content and enter and track student grades in the educational learning system (Canvas) 
  • Track student assignment submissions and distribute assignments for grading. 
  • Compile and summarize student evaluations. 
  • Circulate thank you notes for coaches, simulated clients and key partners participating in the course
  • Serve as technical support for examination room video recording equipment and software

Duty/Responsibility
  • Facilitate scheduling and planning of 3-4 onsite continuing education workshops annually 
  • Prepare physical and digital materials for 1-3 offsite continuing education workshops annually
  • Serve as host and point-of-contact for all the guests attending the workshop – coaches, simulated clients, and visiting veterinarians.
  • Collaborate with offsite meeting planner and continuing education coordinator 
  • Create process or task lists to guide each event 
  • Clarify roles and responsibilities of each team member 
  • Process contracts for simulated clients and coaches 
  • Prepare coach and simulated client training materials 
  • Prepare laboratory materials and participant packets 
  • Arrange shuttle between the hotel and veterinary teaching hospital 
  • Book accommodations for simulated clients and traveling coaches 
  • Schedule classroom and examination rooms for courses and preparatory training events ·         Arrange hospitality for the workshop and coach training, including room set-up and catering ·         Request and track invoice payments and individual registrations 
  • Compile and summarize participant evaluations 
  • Correspond with coaches, simulated clients, and key partners

  • Coordinate and manage the administrative tasks associated with the day to day responsibilities of the communication curriculum.

  • Create hard and electronic filing systems to organize course materials 
  • Organize and maintain inventory of workshop materials
  • Support faculty research and writing projects 
  • File, copy, word-processing, data entry, edit copy, other tasks as needed
