HERE IS WHAT YOU WILL DO
Reporting directly to the College Human Resources Officer (HRO), the Human Resources Coordinator will support HR activities for various employee groups, including faculty, staff, graduate assistants, part-time instructors, student employees, and temporary employees. Responsibilities will include processing transactions in relevant University systems, coordinating hiring and onboarding requirements, maintaining personnel records, supporting payroll processes, coordinating annual staff performance evaluations, responding to departmental inquiries, and assisting with HR projects and process improvements.
The position will also coordinate AYS graduate scholarships. This includes verifying recipients and award amounts, processing workflows, coordinating with the Foundation and Financial Aid, and resolving any issues related to scholarship processing.
The essential duties and responsibilities of the Human Resources Coordinator are the following:
HR Operations and Payroll Administration
• Processes and enters HR transactions for graduate assistants, part-time instructors, student assistants, temporary employees, and other employee groups into relevant University systems, including PPGRA.
• Reviews HR transactions and supporting documentation to ensure completeness, accuracy, appropriate approvals, and compliance with University policies and procedures.
• Identifies and resolves routine transaction and payroll issues, escalating complex or unusual matters to the CHRO or the appropriate University HR office.
• Initiates and processes Personnel Action Forms and other necessary HR documentation.
• Monitors payroll-related deadlines and follows up with departments to ensure accurate and timely submission of required information.
• Assists in identifying and resolving payroll discrepancies and responds to payroll-related inquiries from employees and departments.
• Maintains appropriate documentation and records related to HR transactions and payroll activities.
HR Administrative Support
• Offering administrative assistance throughout the faculty recruitment process.
• Supporting the promotion and tenure process, post-tenure reviews, and non-tenure-track faculty reviews as needed.
• Assist with the annual faculty and staff contract and salary letter process by verifying information with the HRO, coordinating the distribution and collection of documents, tracking the completion of tasks, and maintaining relevant records and databases.
• Providing administrative support for staff recruitment and hiring activities, including serving as a backup entry initiator in Taleo.
• Serve as backup HR transaction initiator for college staff and serve as the primary initiator for the dean's office.
• Assist the HRO with HR projects, process improvements, audits, reports, data collection, and any other special projects assigned.
• Handle departmental inquiries as needed.
• Maintains that HR forms and policies are current on the AYS web page or SharePoint.
Scholarship Coordination Management:
• Oversees the budget for the GSSP (Graduate Student Scholarship Program).
• Review and verify selected scholarship recipients and their awarded amounts within the system, ensuring compliance with GSSP eligibility criteria.
• Provide guidance to the Review Committee as needed outside of the system.
• Input award amounts and assign the appropriate award term within the GSSP.
• Advance recipients through the GSSP workflow to the College-Level Approver.
• Receive and address notifications from the Foundation and Financial Aid regarding processing issues.
• Resolve discrepancies and, when necessary, return recipients to the College-Level Approver for further action.
College Administrative Support:
• Provide administrative support to the Dean's Office as needed.
• Other duties may be assigned as necessary.
