Olive-Harvey College is looking for a part time College Clerical Assistant II to support our Executive Director – Workforce Equity Initiative.  Olive-Harvey offers accessible and affordable opportunities; for academic advancement, career development, and personal enrichment.  This role requires excellent writing, verbal, and customer service skills. As a Clerical Assistant you will work closely with the students as they complete the steps towards the next level in their educational and career goals. 


 
PRIMARY RESPONSIBILITIES:

    • Operates computer equipment utilizing word processing software to produce a variety of materials.  
    • Answers telephones, takes messages, and transfers calls to appropriate personnel. 
    • Sorts and distributes incoming mail.
    • Prepares purchase requisitions for supplies and equipment, reviews invoices and purchase orders to ensure correctness of charges, and verifies delivery of ordered items.
    • Provides information to student inquiries; regarding registration, financial aid, departmental course offerings, and policies.
    • Supports department with day-to-day functions, various projects, and assignments as needed.
    • Provides general office support including but not limited to filing, faxing, photocopying, and Data entry. 
    • Assists in the planning and implementing of events for Project Evolve participants.
    • Maintains and updates student records.              
    • Adheres to the City Colleges of Chicago Customer Services Excellence Standards.
    • Able to be prompt, courteous, and follow instructions when given assignments.

 

QUALIFICATIONS:

    • Graduation from high school supplemented by one year of clerical and keyboarding experience in an office setting or an equivalent combination of training and experience.  
    • Proficient in PC desktop and related software programs.  
    • Ability to operate a personal computer.  
    • Ability to keyboard 45 words per minute.  
    • Ability to follow oral and written instructions. 
    • Skill in basic filing, record keeping and operation of multiple office machines.
