Position Information     

This is a full-time, permanent (probationary) position.

The salary range for this classification is: minimum $2,918 - maximum $4,906 monthly. 

Major Duties

The incumbent in this position will need to apply a general knowledge of accounting and financial record-keeping methods, procedures, and practices to the processing of accounting and financial transactions and information. Work assignments are usually well-defined and of a constant nature; however, incumbents may be assigned responsibility for resolving problems such as advising borrowers of state, federal, and university collection policies and procedures, contacting borrowers to establish repayment agreements, and recommending accounts be forwarded to collection agencies.

Qualifications

Required Education: N/A

Required Experience: Equivalent to two years of progressively responsible financial record-keeping experience, including one year in collections, lending, or a related area OR successful completion of an approved CSU campus training program in collections OR any combination of education and experience which provides the required knowledge and abilities.

Preferred Qualifications: Specialized Materials: Microsoft Suite, Peoplesoft, and TouchNet. 

Required Knowledge, Skills, and Abilities: 

Thorough knowledge of accounting and financial record-keeping practices and procedures, basic interviewing techniques, general office procedures and practices, general knowledge of state and federal laws, regulations, and university policies and procedures pertinent to collections.

Responsibilities

50% -  Creates and maintains financial records of student and third-party collections and payment transactions.

Interprets university policies, rules and regulations of military, government, and other third-party sponsors

Researches and resolves student and third-party balance discrepancies

Assists in responding to students and third-party disputes as it relates to collection and Franchise Tax Board letters 

Reviews third-party authorizations to ensure eligibility of payments

Responds to third-party inquiries

Assists in preparing intent to enroll letters

Assists in reconciling enrollments and payments of campus programs (CAMS, DHFYE, Pay It Forward) as well as third-party partners (WIOA, Greenfig, etc.) and contract training

Creates direct pay third-party organization, contract training, and nonprofit accounts per term

Assigns students to third-party accounts

Assists in reconciling receivables from checks, credits and ACH

Prepares cashier third-party deposits

45% -  Follows up on outstanding invoices

Documents collections efforts, reconciles and verifies posting of the cashier's work (student and third-party)

Prepares third-party refunds

Assists in reconciling TouchNet payments

Assists in setting up installment plans and assigning students

Assists in filtering, editing, collection lists to generate collection letters

Documents multiple transactions on grants and contracts

Assists in preparing third-party invoices

Assists in posting WIOA, book expense, and payments

Assists in preparing accounts receivable reports

5% - Other duties as assigned.
