Job Description

Position Description: This is a three-quarters time (30 hours per week), 12-month, benefits-eligible, position in the Department of Communication Sciences and Disorders. The weekly schedule is to be determined. The Clinical Senior Administrative Assistant is responsible for a variety of administrative and office functions that support the Herndon Clinic’s operations. Duties include various customer service, processing financial transactions, managing billing/insurance claims, mastering software applications, communicating detailed information, and maintaining efficient office operations. The person in this important position must be able to complete routine and complex tasks reliably and accurately even though frequent interruptions are likely. The ability to maintain a flexible, positive, and client-centered attitude is essential. A successful candidate should possess strong oral communication and customer service skills, be well-organized with attention to detail and be able to work independently. This is an on-campus position located on the Fort Hays State University campus in Hays, Kansas.

Minimum Qualifications:

  • High School diploma or GED equivalency
  • Two years of office experience or two years of post-secondary education

Preferred Qualifications:

  • Associate’s degree or higher
  • Experience with medical billing/claims
  • Office experience in a medical setting
  • Strong written communication skills
  • Proficient with Microsoft Office as evidenced by application materials
  • Experience at an institution of higher education
  • Supervisory experience
  • Familiarity with scheduling software

Appointment Date: Start date will be determined after acceptance of an offer and background check clearance.

Responsibilities:

  • Process medical charges, submit claims to insurance, and post payments to a ledger.
  • Develop a comprehensive understanding of medical insurance and claim filing procedures.
  • Respond to questions and inquiries from student clinicians, clients, clinical faculty, and insurance companies.
  • Assist in contacting Herndon Clinic clients via email or telephone as needed.
  • Maintain confidentiality in accordance with federal and state laws applicable to educational and healthcare institutions.    
  • Intake medical referrals.
  • Assist in scheduling and overseeing the daily patient flow process.
  • Assist with preparing clinic deposits and reconciling daily clinical activities.
  • Assist clinic coordinators with management of Herndon Clinic and other affiliated sites.
  • Manage Herndon Clinic related compliance tasks.
  • Perform other related duties as assigned or requested.
