The Medial Records Department is dedicated to providing prompt and secure services to our patients, clinics, and the surrounding community.  As a Clinical Records Specalist for OU Physicians, you will be responsible for answering incoming calls to the department, copying and sending medical records electronically, as well as importing documents into the electronic medical record system. To be successful in this position you will need to be able to work collaboratively with a variety of individuals across various medical departments.

Representative Responsibilities:

  • ROI’s.   Assist in day to day process for release of Information; copying files from both electronic medical records as well as paper charts.
  • Record Scanning.   Scans all information for the medical record into digital form/electronic medical record.
  • Quality Assurance.   Ensures the accuracy and completeness of records and files by correcting mistakes or contacting appropriate personnel.
  • Routing.   Routes files or forms according to established guidelines and mails/faxes records or files as required.
  • Coding.   Codes information into forms or files in a computerized system.
  • Indexing.   Completes appropriate indexing process to make notes available for providers digitally.
  • As Needed.   Performs various duties as needed to successfully fulfill the function of the position.
 

Job Requirements

Required Education: High school diploma or GED, AND: 

  • 24 months equivalent experience

Department Preferences:

  • 18 months experience working with medical records.
  • Associate's degree in Health Information Management, Health Administration, or related field strongly preferred.
  • Bilingual: English/ Spanish
  • Strong computer skills including, but not limited to, Excel, Word, and Adobe.

Physical Requirements:

  • Standard office environment and exposure. Up to 20% of this position will require mobility: moving from one room or building to another; etc.  Must be able to stand for extended lengths of time in the function of scanning or faxing medical records.
