Position Summary
Position supports Clinical Operations Manager with effective management for daily office / departmental functions; performs specialized / technical duties with minimum supervision and oversees day-to-day tasks to ensure department efficiency.


Job Description

Primary Duties & Responsibilities

  • Oversees duties and personnel related to mail delivery and pick-up for Department of Ophthalmology (all locations).
  • Acts as Coordinator for each program rotation; prepares correspondence, materials for meetings and presentations, set-up, scheduling, evaluations, and all other tasks related to effectively supporting Ophthalmology.
  • Manages all scheduling processes for conference rooms; establishes process to ensure minimal disruptions with effective communication and resource allocation to department administration; handles and resolves any issues that arise and needs to be addressed.           
  • Supports Clinical Manager in day-to-day technical activities, including urgent/emergent form logging and follow-up; provides back-up support to administrative team, as needed (including scheduling).
  • Answers in-coming calls to the Department of Ophthalmology main number and routes appropriately or provides information in accordance with organizational policy.
  • Schedules and maintains appointment, lecture, and meeting schedules for Ophthalmology providers, and provides necessary support and coordination for all lectures/meetings.
  • Coordinates EH&S inspections. 
  • Manages ordering and delivery of supplies and lab coats (with appropriate fund allocation) for a large portion of the Ophthalmology Department.
  • Handles all “maintenance”-type items as it relates to Ophthalmology (coffee machine, paper, supplies).


Preferred Qualifications

  • Bachelor’s degree.
  • Working knowledge of general office equipment.
  • Communication skills that require dealing with a diverse population.
  • Exemplary organizational skills.
  • Discretionary judgment.
  • Proficient in Microsoft Office 2010 (with an emphasis on Excel and PowerPoint) and an overall computer competency.


Required Qualifications

High school diploma or equivalent high school certification with two years of college or equivalent.

Salary Range
$17.52 - $26.27 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
