CLINICAL OFFICE SERVICES SPECIALIST III

Under minimal supervision, this position performs department specific office and clerical duties of a moderately complex nature. The work may consist of maintaining department databases, records and files, gathering and interpreting data to construct detailed reports, and assisting in monitoring department budgets. In this position, it might oversee the work of other clerical employees. The role could require employees to ensure that the daily workload is prioritized, complete database referrals, and communicate with treatment facilities. In addition, this role will enter ASAIS data, process subpoenas, help with patient scheduling, help with HR-related problems, and handle confidential information.

 

Key Duties & Responsibilities

  • Has the ability to monitor other clerical staff and able to direct staff in order to prioritize work load for the day.
  • Provides support for manager in the areas of database referrals and as a liaison with treatment facilities.
  • Utilizes several different databases to enter all information (ASAIS, MIDAS, PARACELSUS, TASC) as well as subpoenas.
  • Performs clerical duties such as entering client data, filing, keeping records and gathering/interpreting data.
  • Assists manager with bookkeeping of departmental budget by maintaining logs for lab orders and front desk supplies.
  • Maintains records, completes filing and oversees other clerical employees duties have been completed as well.
  • Duties may consist of responding to routine inquiries for information, receiving, sorting and distributing mail, preparing outgoing correspondence (stuffing envelopes, typing and applying labels) posting simple information to logs.
  • Performs other clerical duties in support of specific departmental functions.
  • Perform other duties as assigned

 

Knowledge, Skills, Abilities & Work Characteristics

  • Basic computer skills - Word and Excel
  • Basic math skills to accurately handle money, count change and reconcile daily collections
  • Knowledge of MIDAS, ASAIS, Treatment Database, Paracelsus                                                           

 

Hourly Range: $15.00-$21.15

 

Qualifications

 

Education

  • High School diploma or GED
  • And four (4) years of related experience required
