Overview

The Clinical Education Coordinator is a key component to the coordination of the clinical experiences in Years 3 and 4, works collaboratively with clinical faculty and staff, as well as affiliate/community sites, medical school staff, students, and administration. The Clinical Education Coordinator performs essential functions to assist in the delivery of clinical education and contributes to the analysis, development, communication, implementation, and review of clinical experiences, processes and procedures.

The Clinical Education Coordinator reports to the Clinical Education Manager.

Starting salary of $55,000

Duties/Responsibilities

50%: Medical Education and Research Costs (MERC) Fund Reporting

  • Gather data from the clinical departments for accurately reporting hours of clinical training in a patient care setting to the Medical School Finance Office and answer MERC-related questions from clinical sites
  • Course Catalog Management (CourseDog) - Make updates in CourseDog to existing courses as needed, communicate with team members about updates as needed, and conduct yearly audits of courses in CourseDog
  • Respond to requests for student, course, and onboarding data
  • Track reimbursement requests from students who had to extend their Step 1 or Uworld subscriptions due to their lane placement to submit to the financial aid office
  • Shepherd new course ideas through the course proposal process - set up the new course, notify team members when a new course is created and send out new course announcements to students
  • Provide administrative support to the Director of Clinical Immersion & Transitions for regular meetings with LIC Directors and Coordinators and Required Clerkship Directors and Coordinators, including maintaining and distributing agendas and meeting minutes

25%: Medical Student Onboarding for the VA Medical Center, MHealth Fairview, and other clinical sites

  • Regularly review course rosters of students assigned to a specific site
  • Monitor onboarding accounts for required student documentation, including photo releases
  • Communicate with students about the status of the onboarding process
  • Respond to questions from coordinators, students, and clinical site staff regarding onboarding status of students
  • Distribute and monitor student completion of Electronic Medical Record system training (Epic) to all first year Twin Cities students and to all second year Duluth students
  • Serve as first point of contact for clinical site staff when they have questions about medical student onboarding
  • Work with health systems to develop early onboarding workflows
  • Communicate with students, departments, health systems, and academic advisors to ensure onboarding completion.

25%: Early Clinical Experience (ECE) Placement Management

  • Collaborate with Early Clinical Experience (ECE) course director to administer ECE program within health systems as part of the Clinical Skills course.
  • Recruit preceptors annually to participate in longitudinal preceptorships and manage/update spreadsheets for tracking preceptors and site information  
  • Schedule students to preceptors based on student preferences and locations based on student needs for transportation and schedule.
  • Educate and communicate preceptors and health systems on processes of the course and assessment of students.
  • Assist with onboarding of students, following students through the onboarding process to completion 
  • Continuously monitor and improve processes yearly to improve efficiency of process annually.

Required Qualifications:

  • BA/BS degree plus at least two years of relevant experience, or a combination of education and relevant work experience to equal at least six years
  • Demonstrated ability to work within and across teams
  • Excellent communication skills, both oral and written
  • Excellent organizational skills and attention to detail

  • Previous experience with Medical Education
  • Willingness to learn and accept responsibility of tasks at hand
  • Creative problem-solving
  • Project management experience
