The University of Miami has an exciting opportunity for a Clinical Business Operations Representative with Bascom Palmer Eye Institute located in Plantation, Florida.

The Clinical Business Operations Representative facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent in this position performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient-care and records. This role will also assist patients in a courteous, efficient and professional manner and ensure adherence to divisional and departmental service standards.

CORE JOB FUNCTIONS:                                                                                           

  • Assists the department in managing expectations surrounding pre and post patient care.

  • Obtains or reviews all patient demographic information, insurance information and referral numbers.

  • Reviews clinical records for completeness including authorization, signatures, missing data and other patient information.

  • Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.

  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs.

  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.

  • Provides coverage for responsibilities of co-workers when assigned or as need arises.

  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.

  • Maintains confidentiality of all information.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions:

  • Coordinates the patient flow in/out of exams rooms, emphasizing on minimizing waiting time for the patients and faculty.

  • Monitors the progress and facilitates the testing of patients undergoing diagnostic testing and/or consultations in other area/departments within the Institute.

  • Assisting physician in setting up for various in-office minor procedures.

  • Serves as a liaison between physicians and patients, and the Registration Appointment, HIM, Financial and Business office staff.

  • Responsible for logging in/out sample drugs for patients and physicians.

  • Makes suggestions to physicians, and/or practice manager regarding possible improvements in the practice.

  • Facilitates patient flow in the clinic; answers patient questions regarding their waiting time, orients patients as where to go for tests.

  • Answers telephone in a professional and diligent manner, relaying messages in a timely fashion and follow up when required.

  • Verifies insurance coverage on patients requiring special procedures not included with their visit, including HMO authorization.

  • Informs, assists, and schedules patients as appropriate for clinical studies, diagnostic and special procedures.

  • Will work closely with medical records staff to ensure that all the charts are returned to medical records at the end of each day.

  • Ensures that clinic exam rooms are clean, orderly, well stocked and that all equipment is in working condition and locked cabinets when appropriate.

  • Maintains examination work-up forms and all other pertinent medical forms in exam rooms and in stock readily available to physicians for patient care.

  • Attends all mandatory in-services on a timely basis, as scheduled.

  • Respects the confidentiality of all hospital and patient matters, and uses complete discretion when discussing the issues.

  • Assists patients of all ages.

  • Ability to operate computer terminal, retrieving and inputting information, as required, accurately.

  • Ability to communicate effectively in both verbal and written form.

  • Ability to function satisfactorily while under pressure.

  • Ability to perform as a team player.

  • Ability to vary work schedule or shift, in order to meet department needs.

  • Knowledge of medical terminology.
