The individual chosen will be responsible for meeting the highest standards of customer service including, exhibiting a professional and positive image when interacting with patients, faculty and staff. This position is our Clinic Coordinator of the Gold Team. The role of the clinic coordinator is to function as a team manager and leader. The goal is to optimize the ability of the Gold Team to provide efficient and state-of-the art cancer care in an academic environment. The coordinator will lead, in tandem, with the physician team leader and the nurse leads, the day to day clinic operations of the Gold Team. The Clinic Coordinator will be the point person for overall team clinical operational management (entry, innovation-change, implementation, monitoring, and resolution). Close communication between these multiple leads with respect to clinical operations will be maintained with physician team lead directly aware or involved with all operational management activities/actions in a synergistic fashion with the CCC operational leads.

Responsibilities*
  • Review weekly the next week's schedule for omissions, overbooking and other points of flow concern.
  • Monitor Maize Team scheduling inbaskets.
  • Set up templates and schedules for physicians in each group; manage the flow of patients in the clinic via design/monitoring of the scheduling templates.
  • Optimize schedules to maximize patient flow and physician productivity.
  • Monitor reschedules from closed clinics to optimize room utilization and staffing assignments. Ensure clinics are closed and patients are rescheduled and contacted as quick as possible.
  • Provide service recover with complaints/issues
  • Functional supervision of clerical staff.
  • Lead process improvement and serve as a liaison to the clerical staff in clerical issues.
  • Oversee clerical staff including interviewing, orientation, training, and scheduling.
  • Back up for clerical staff, covering positions as needed.
  • Develop metrics with the physician team lead for quality improvement initiatives.
  • Review a variety of MiChart reports for quality, compliance, efficiency and other necessary clinical measures.

Required Qualifications*
  • Associate Degree or an equivalent combination of education and experience is necessary.
  • 3 or more years of Cancer experience.
  • Previous clerical/medical records experience in an outpatient clinical setting is necessary.
  • General office practices, ability to understand medical documentation and general knowledge of medical terminology is required.
  • Demonstrated excellent verbal and written skills.
  • Candidate must be an active team player and be able to work independently.
  • Strong organizational and prioritization skills are required along with outstanding customer service skills.
  • Demonstrated record of excellent attendance.
  • Exhibits professional and positive image when interacting with patients, faculty, and staff. Able to handle multiple responsibilities in a fast-paced environment with accuracy.
  • Demonstrated ability to work well under pressure and meet deadlines.
  • Demonstrated strong problem-solving skills.

Desired Qualifications*
  • Experience with MiChart/EPIC is highly desired.

Work Schedule

M-F 40 hours per week, some flexibility is necessary.
