Job Summary

The Assistant to the Associate Deans provides administrative support to the Senior Associate Dean of Research and Faculty Development, Senior Associate Dean for Education and Student Development, and Associate Deans for Equity and Inclusion in the College of Social and Behavioral Sciences.

Essential Functions

  • Manages the Associate Deans’ calendar. Sets up regular and ad hoc meetings with various individuals and groups.
  • Using existing templates, edits and sends regular reminder and announcement emails.
  • Sets up faculty review meetings, coordinates review materials, and collates and summarizes research review feedback. Sends announcements to job applicants.
  • Provides administrative support for student success staff searches.
  • Proofreads and edits documents, including tenure, promotion, and mini tenure memos.
  • Provides organizational support for faculty development and research, student success, and diversity, equity, and inclusion projects.
  • Provides event planning support and orders catering as needed.
  • Attends various meetings to take notes for the Associate Deans.

Other Functions

  • Provides administrative back-up for the SBS Executive Assistant to the Dean. 
  • Performs other duties as assigned in support of SBS mission and goals.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • High School Diploma and a minimum of one (1) year full-time or equivalent part-time office administration experience.
  • Excellent attention to detail.
  • Excellent organization skills; ability to prioritize workload effectively and efficiently.
  • Ability to manage numerous electronic calendars and schedule meetings with multiple participants.
  • Ability to communicate in the English language (reading, writing, comprehension) including proper grammar, punctuation, spelling, word meaning and word usage.
  • Excellent oral and written communication skills, with the ability to express thoughts clearly and to develop ideas in logical sequence.
  • Flexibility to work with initiative and willingness to take on and complete a variety of tasks and projects in a timely, accurate and professional manner.
  • Ability to collect and interpret data and summarize into reports.
  • Excellent computer software knowledge including electronic calendars, data management, spreadsheets, word processing.
  • Must be able to exercise sound judgment and discretion in handling confidential information and to abide by relevant Federal laws (e.g., FERPA).
  • Ability to adjust to changing situations.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

Experience in Higher Education administrative support.

Typical office environment.

Work Schedule

  • Monday – Friday, 8:30 am – 5:00 pm. 
  • This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee's work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the University Staff Association, it is subject to the terms and conditions of the University Staff Association collective bargaining agreement, therefore.
