Job Description:

POSITION TITLE: Clerk II, Purchasing and Business Services  (Part-Time) 

DEPARTMENT: Purchasing and Business Services

PRIMARY LOCATION: Fall River 

REPORTS TO: Director of Purchasing and Business Services

STATEMENT OF DUTIES:  

The Clerk II processes campus card requests; answers phone calls; communicates with customers regarding the status of their cards, implements appropriate quality control standards, and manages inventory. Additionally, provide clerical support to staff in the Purchasing and Business Service, Events, and Facilities departments.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:

  • Operation of campus card ID card system including issuing new and replacement IDs.
  • Ensure that the Card Office maintains sufficient stock of supplies to meet anticipated customer demands, thus avoiding delays in production or lateness of production.
  • Answer email, telephone, and walk-in inquiries.
  • Demonstrated problem-solving abilities.
  • Process invoices for payments and purchase orders.
  • Maintain filing system of correspondence, reports, and other records.
  • Perform routine office functions using a variety of machines and equipment.
  • Operate a two-way radio system to communicate with Facilities staff.
  • Understand and explain College policies and procedures.
  • Demonstrate a sense of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community. 
  • Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions.
  • Perform other related duties as assigned.


Requirements:

EDUCATION AND EXPERIENCE

REQUIRED QUALIFICATIONS:

Applicants must have at least (A) one year of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

  • A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for the required experience.*
  • A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
  • A diploma for completion of a program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*
  • An Associate's or higher degree may be substituted for the required experience.*
  • *Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

    ADDITIONAL REQUIRED QUALIFICATIONS:

    • Knowledge/skill in word processing and spreadsheet software, preferably Microsoft Office.
    • Demonstrated customer service skills.
    • Solid organizational skills.
    • Demonstrated ability to:
      • Operate standard office equipment.
      • Follow written and verbal instructions.
      • Use proper grammar, punctuation, and spelling.
      • Work well under pressure.
      • Work independently.
      • File records in accordance with standard filing procedures.
      • Interact tactfully and effectively with the public.
      • Work effectively with a diverse faculty, staff, and student body.

    PREFERRED QUALIFICATIONS:

    • Experience in higher education.
    • Must be reliable and responsible.
    • Ability to operate multifunction devices, multitask and be detail oriented.
    • Knowledge of basic computer skills.
    • Ability to follow oral and written instructions.
    • Ability to multitask in a high pace environment.
    • Ability to speak a language in addition to English

    POSITION STATUS: This is a part-time, non-unit, non-benefitted, 18 hours per week position.

    WORK SCHEDULE:  Monday through Thursday 8:00 am - 1:00 pm.

    SALARY: $18.94 per hour.
