Clerical Assistant, Financial Aid

East Stroudsburg University is hiring a Clerical Assistant 2, Financial Aid! Located in the beautiful Pocono Mountains of Pennsylvania, ESU’s proximity to New York City and Philadelphia provides convenient access to internships, careers and social activities. As the Clerical Assistant 2, Financial Aid, you will need to think creatively and be comfortable delivering quality customer service and financial aid education. You will be an active member of the Financial Aid team and will work closely with the director of financial aid and financial aid staff to provide confidential administrative services. You will thrive in this role if you like combining your administrative and customer service experience while assisting the financial aid staff and director. To be successful in this role, you must have strong attention to detail, be an analytical thinker and have outstanding customer service skills.
M-F, 8am-430pm. You may have to flex your schedule from time to time based on the needs of the business to be a true clerical assistant.  When our team shows up for work, they are energized and motivated to succeed - all while being the most crucial piece to keeping the ESU operations humming.


What Will I Do At ESU? (AKA Essential Duties)

  • Provide excellent customer service to students, parents, faculty, staff, and other ESU stakeholders in all matters pertaining to the Office of Financial Aid.
  • Reads, understands, and follows policies and procedures in accordance with U.S. Department of Education, FERPA and state and university regulations.
  • Welcomes guests upon arrival, maintain walk-in students through NEMO Queuing System, and maintain e-mail and verbal correspondence with all faculty, staff, students, and parents.
  • Assists with meeting preparation including calendar invites and meeting materials, assists with Office and staff notifications, drafts and maintains various correspondence and files.
  • Assists with Financial Aid daily office processing and operations including auditing, re-review, data entry of student information, updating current student files, and presenting problematic student files as requested by Financial Aid Officer.
  • Ensures the printing, assembling, and mailing out of all award letter packets for distribution to potential new ESU students including new freshmen and transfers. Assist Financial Aid Officers with mailed correspondence and telephone campaigns to promote student completion of financial aid requirements.
  • Responsible for annual continuing student postcard campaign to promote upcoming year processes.
  • Maintains/updates Financial Aid office annual inventory report and submits to business office.
  • Assist with scheduling, training, and coordinating the student workers in the financial aid office.
  • Works with University Relations in the development and printing of flyers and other materials for events to include but not limited to Accepted Student Reception, Orientation, Transfer Days, etc.
  • Assist students with completion of Free Application of Federal Student Aid (FAFSA), Loan requirements, and verification documents.
  • Assist the financial aid staff with clerical aspects of administration of federal satisfactory academic progress for the university, administration of federal aid awarding such as Pell Grant, Direct Loans, and Federal Work-study, and tracking and compiling professional judgements and dependency overrides and to aid and any necessary processing of submissions for Director of Financial Aid.
  • Support as needed for PHEAA Grant and Institutional Aid questions and processing.
  • Troubleshooting financial aid issues and communication for students, parents, advisors and staff.
  • Providing excellent customer service through the use of the queuing system and correspondence through e-mail, phone calls, and face-to-face interactions with students, parents, faculty, staff, and other university stakeholders.
  • Representing the University at orientations, open houses, enrollment workshops, etc.
    Other duties as assigned.

What We're Looking For (AKA Qualifications)

  • 1+ year of clerical experience or combination of training and experience, and six months as Clerical Assistant I, and/or completion of a high school credential.
  • 1+ year of strong analytical, organizational, and administrative work experience is required.
  • Previous experience in a higher education work environment is preferred, with an emphasis in the financial aid department.
  • 1+ year of previous customer service work experience is preferred.
  • Ability to remain calm and patient when explaining complex financial aid topics to customers is required.
  • High degree of attention to detail with the ability to analyze data, prepare and present appropriate material, compile reports and meet strict deadlines.
  • Able to read, write, and comprehend English; able to follow verbal instructions.
  • Experience with Word, Excel, Teams required.
