DEPARTMENT OVERVIEW

Circulation & Collection Maintenance, along with Interlibrary Loan, Operations, and Reserves & Media comprise the User Services & Resource Sharing department, which is responsible for the circulation and appropriate duplication of bibliographic materials to support the teaching mission of the University and the research needs of the campus community.

JOB SUMMARY

Under the direction of the Assistant Director of User Services & Resource Sharing Director, the Circulation and Collection Maintenance Coordinator oversees the Circulation and Collection Maintenance unit at the University Library directly supervising staff members and indirectly supervising student assistants. 

 

APPOINTMENT INFORMATION

Budgeted Salary: $73,300 - $84,900/Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

60% - Supervision
 

  • Supervise the daily operation of the Collection Maintenance Unit and Library Public Service Desks. Oversee daily circulation operations for two University Library locations. Responsible for scheduling two public service points and coordinating desk coverage to ensure consistent staff presence at physical service desks.
  • Provide direct supervision to career staff who are performing routine Library duties.
  • Provide direction and assistance to direct reports on difficult and complex operational Library services matters. Provide direction to direct reports on policies and practices.
  • Ensure that staff understands their training and development options. Encourage staff to seek out professional development opportunities. Maintain awareness of funds available to staff for their professional development. Identify and implement staff development needs for individuals and the unit.
  • Lead and support EDI initiatives within the unit, the department, and the Library.
  • Oversee hiring process: write job descriptions and recruitment justifications, post staff vacancies for recruitment, make hiring decisions or recommend individuals to be hired.
  • Set performance expectations, monitor performance, provide corrective action, and recommend employee selection, corrective action, and dismissals. Train staff on Collection Maintenance and Circulation Desk responsibilities. Write performance evaluations.


20% - Public Service
 

  • Provide public service at the McHenry Library and S&E Library Circulation Desks. Assist patrons in person at multiple service desks and virtually via chat.
  • Inform patrons of library policies and teach patrons how to locate materials within the local collection and how to look up reserve materials; demonstrate placing of Interlibrary Loan requests; identify and refer complex requests.
  • Printing and scanning: describe printing and scanning options to patrons, provide basic troubleshooting of ITS-managed equipment, and direct issues to ITS as needed.
  • Provide patron education and support for microfilm readers and scanners.
  • Maintain confidentiality as required by Library, University, and system-wide policy.
  • Resolve difficult public service interactions.
  • Execute emergency procedures as outlined in the Library Emergency Manual.
  • Serve as a resource to Library Assistants to answer complex questions and assist in difficult patron interactions and emergencies.


10% - Project Management
 

  • Using independent judgment, initiate and oversee short and long-term projects including:
    • short and long-range planning for the organization of stacks space in the University Library
    • major shifting projects and collection moves
    • measuring projects to estimate growth patterns and for analysis of space utilization
    • any special or ad hoc projects related to the University Library collections


5% - Administration
 

  • Develop and implement practices in support of strategic directions and long-term sustainability.
  • Make recommendations for library loaning and borrowing policies.
  • Coordinate collection maintenance and circulation training activities. Identify needs and implement training plans. Coordinate training on new equipment or programs. Facilitate cross-training within the unit and across the department and unit.
  • Encourage efforts to streamline processes. Establish, revise, and implement practices. Set direction for unit activities, plans, priorities, and workflows.
  • Serve as contact for SCPL if questions arise related to microfilming.
  • Maintain web pages related to the Circulation Unit.
  • Oversee the binding program for the general collection and other materials. Direct the selection of material for binding, rebinding, re-casing, pamphlet binding, and custom boxes. Serve as primary contact for the Director of the Northern Bindery regarding long-range budget planning, changes in binding options and costs, and overall quality control.
  • Serve as the functional expert on the hardware, software, and systems deployed in the unit.


5% - Miscellaneous

  • Participate in US&RS department meetings. Seek out and participate in recommended professional development opportunities.
  • Participate in unit, department, Library, and systemwide initiatives. Assist other units as necessary and participate in ad-hoc special projects as assigned.
  • Support Director and Assistant Director of US&RS with short- and long-term planning for the Department.
  • Serve on the Library Management System team (or support US&RS representative(s) currently serving on that team).
  • Serve as chair of the Collections Disaster Response Team. Organize and participate in disaster response efforts, and serve as primary contact for emergencies affecting the collections.
     

 

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience and / or training.
  • Demonstrated efforts toward creating a just and inclusive working environment, and a sensitivity for ways that racism, ableism, and sexism appear in academic library environments.
  • A minimum of two years demonstrated library work experience, including patron services, knowledge of Circulation and Collection Maintenance practices, policy, and software management tools.
  • Analytical skills sufficient to interpret numerical data to form reasonable conclusions.
  • A minimum of two years experience hiring, training, supervising, and developing career staff, including writing job descriptions, scheduling employees, delegating tasks, performance evaluations, and motivating staff employees.
  • Experience with project management and project leading techniques, including managing work from multiple groups, collaboration with stakeholders, leading meetings, tracking action items and deliverables, and timely completion.
  • Demonstrated exceptional interpersonal and communication skills, with the ability to interact diplomatically and in a positive manner, and to understand, support, and communicate organizational goals, policies, and procedures to UC faculty, staff, students, and members of the general public with diverse backgrounds.
  • Experience in a computer-reliant work environment and the ability to learn specialized software.

 

PREFERRED QUALIFICATIONS

  • Demonstrated success working in a collaborative, team-based work environment.
  • Knowledge of Library of Congress Classification System.
  • Experience using ExLibris Alma library management system.
  • Experience in an academic library.

 

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work occasional evenings and weekends as directed.
  • Ability to work on-call.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
