Job Description Summary:

To provide support for creating, processing and tracking student childcare scholarships and related student childcare services.

Job Description:

Description of Duties and Tasks

1) Creates, processes and tracks purchasing requisitions from childcare contracts.
2) Acts as point of contact for students, childcare vendors, Texas Workforce Commission Child Care Program, and ACC's Procure-to-Pay (P2P) department to facilitate establishment of childcare contracts, set up of purchase requisitions and monthly invoices.
3) Accepts, logs and tracks childcare scholarship applications.
4) Supports awarding process by preparing relevant data and information to determine childcare scholarship disbursements.
5) Contacts all childcare scholarship applicants following scholarship awards.  Documents acceptance and denials of childcare scholarships.
6) Supports childcare scholarship outreach and marketing efforts.
7) Problem solves issues regarding provision of services, including, but not limited to, contract set-up, invoicing and payments.
8) Establishes and maintains system to file and track childcare vendor applications, childcare purchase requisitions, invoices and payments.
9) Assists in expediting payments to childcare vendors in coordination with Accounts Payable (A/P).
10) Ensures compliance with procurement policies, procedures, and guidelines.
11) Compiles, reviews, and analyzes data and provides both written and oral reports to stakeholders.
12) Creates, updates, generates, and distributes routine correspondence, presentations, and documentation as requested.
13) Maintains childcare budget by logging and tracking expenditures.
14) Identifies process improvements, including recommending new procedures or best practices to improve efficiency, accuracy, and timeliness of deliverables, while maintaining or enhancing appropriate controls.
15) Seeks out childcare providers to participate in the childcare scholarship program.
16) Assists with other initiatives, projects, and special projects as assigned.

* Use a variety of spreadsheet, word processing, database, and presentation software including web and publishing software.

Required Work Experience


* One year related work experience.

Required Educaton


* Associate degree.
Four years of related work experience may substitute for this education requirement. Applicants who substitute work experience to meet the education requirement must use additional related work experience to meet the years of "Required Work Experience" for this position.  Please note that the college reserves the right to amend these terms of substitution at any time.

Other Preferred Qualifications


* Knowledge of childcare rules and regulations.
* Knowledge of variety of childcare options, including, but not limited to, licensed centers and group homes, register family homes and specialty care.
* Knowledge of state procurement policies and procedures.

Physical Requirements


* Work is performed in a standard office or similar environment.
* Subject to standing, walking, sitting, bending, reaching, pushing, and pulling.
* Occasional lifting of objects up to 10 pounds.

* Work safely and follow safety rules. Report unsafe working conditions and behavior. Take reasonable and prudent actions to prevent others from engaging in unsafe practices.

Salary Range

$45,760 - $52,576
