Job Summary

This position operates at a tactical, strategic, and operational level to build and lead the daily operations of the School of Public Health Dean’s office. This individual will have oversight of projects that do not neatly fit within the organizational chart, or that fall between departments or leadership areas of responsibility, human resources, and compliance issues.

 

Job Duties

  • Serve as a thought partner and strategic advisor to the Dean, participating in institutional meetings, challenging ideas, offering a different perspective, and following up on action items with the team accordingly;
  • Triage all incoming requests for the Dean’s time and direct the Assistant to the Dean to ensure the Dean’s calendar is aligned with the priorities of the organization; ensure the Dean’s agenda is clarified, communicated, and executed; provide the Dean with all necessary preparatory background information in preparation for daily meetings;
  • Coordinates and interacts heavily with senior leaders and executives, external affiliate leadership, and other external partners on a diverse range of strategic, operational, political and organizational matters. Manages and builds a process to track and nurture key stakeholder relationships;
  • Oversees the planning, execution and follow-up activities of leadership meetings and high-profile special events including leadership and board meetings, off-site events, and other high-level logistics on behalf of the Dean and office units;
  • Prepares and/or contributes to the preparation of agendas, reports, proposals, briefings, presentations, and responses on/to institutional and strategic issues; Prepare key reports such as the Dean’s Annual Report and reports to the external advisory board;
  • Structures and directs delivery of internal and external communications from the Dean’s Office (including with governmental agencies and outlets); manages the School’s brand and reputation;
  • Lead cross-functional strategic initiatives, facilitate special projects (e.g., public health week, UTSA/County/Metro Health special events, international collaborations), and ensure action items are executed on behalf of the Dean;
  • Maintains effective relationships in all interactions with internal/external constituencies in direct support of the Dean.
  • Serves as the point of contact for the Dean’s direct reports (Staff) as needed, assisting the Dean in quarterly reviews, setting metrics, KPI, supporting staff development initiatives and related activities;
  • Assess all inquiries directed to the Dean, acting as an extension of the Dean to funnel, filter, and facilitate information sharing with internal and external stakeholders;
  • Assists the Dean with correspondence dealing with issues and subject matters requiring considerable sensitivity, discretion, confidentiality, judgement, and negotiation.
  • Facilitates and provides expertise with strategic management processes critical to achieving strategic planning goals. Proactively follow up with the Dean’s team to ensure goal achievement is on track.
  • Promote team integration as well as cross-functional communication and collaboration
  • Track high-priority initiatives for the Dean to identify any/potential obstacles
  • Provide analysis, recommendations, and options to the Dean regarding high-impact decisions
  • Oversees management of SPH building operations to include space allocation, access requests, building maintenance and outages, parking, dining, and implementing safety measures.
  • Provides principal management support resulting in the seamless functioning and management of the Office of the Dean. Provides oversight of the Assistant to the Dean and provides direction and support across all administrative and support staff in the Dean’s office.

    Education

    Master's degree required, ideally in a business-related field, such as Education, Business Administration, Finance, or Economics. Doctoral degree preferred.

     

    Experience

    Ten (10) years of progressive experience in an advisory role, with a minimum of five (5) years of supervision/management is required.

    Experience providing senior executive-level support or office management within an institution of higher education is preferred.

     

    Licenses and Certifications

    Preferred: Executive Leadership Certification, PMP
