Position Summary
This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Administrative Assistant position for the Department of Chemistry at Oregon State University (OSU).
 
Student employee will assist office Staff with a variety of duties in the department. Other duties
may be assigned as needed to efficiently operatethe requirements of the department office.
Position Duties
  • First contact for the department office; answer multi-line phone and directing calls as needed
  • Greet walk in visitors to the office and assist as needed
  • Reserve departmental rooms for faculty and graduate students
  • Process key requests
  • Process syllabus requests via email
  • Process campus mail and assist customers with mailing packages
  • Assist with miscellaneous projects that may be outside of the departmental office
  • Filing, Stocking office supplies, troubleshooting copier and printer issues
  • Internet research, digitizing documents,  making fliers using Adobe InDesign
  • Assist with setting up for departmental events (seminar speakers, parties, awards ceremonies, faculty meetings, etc) writing newsletter articles, other media and/or event duties as requested

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Excellent computer and communication skills, especially with email and phone etiquette. (This position will work both PC and Apple computers)
Preferred (Special) Qualifications
  • Experience with word processing and spreadsheet applications as well as Adobe Creative Suite
Working Conditions / Work Schedule
  • Office Hours M-F 8am-5pm; occasional evening work outside these hours may be required
